The brief
Cloudsufi, an IT services company, wanted a leisure offsite for its employees with no business agenda: a weekend away from the office to meet across teams and have fun together. The dates were fixed, Saturday 24 to Sunday 25 October, with the group leaving from Sector 16 in Noida.
The brief asked for the whole trip as one package: a resort within reach of Noida, coaches, five meals, team activities that could take well over a hundred people at once, an evening with a DJ and a bar, and a project team on the ground from departure to return. Corbett is about 240 km from Noida, so the journey, the timings and the evening's noise limits shaped the plan as much as the programme did.
What ICE India delivered
Coach travel from Noida
Three business-class air-conditioned coaches for the round trip, each with charging at every seat, a microphone and an ice box, with a breakfast box and water handed out on boarding.
Resort and rooms
55 twin-sharing rooms for the night at a resort near Ramnagar, with open lawns for the activities and the evening.
Meals and bar
Lunch on arrival, high tea, a dinner with starters and a licensed bar, breakfast, and a farewell lunch before the drive home.
Team building
Two facilitated sessions on the resort grounds, Mini Olympics and a Drum Circle, about three hours in all.
DJ evening
A DJ with sound, stage lighting and generator backup for the dinner, with the music licence arranged, plus a PA system for the leadership address and the closing session.
On-ground team
A named ICE India project manager and a two-person team travelling with the group from Noida and back.
Getting 110 people to Corbett and back
The group assembled at Sector 16, Noida, and left at 08:00 on the Saturday in three coaches, with one 15-minute halt on the way. A packed breakfast box and water were handed out on boarding, so nobody queued for food on the highway. The return left after lunch on the Sunday with one comfort halt, reaching Noida at about 19:30.
The coaches were 2023 models or newer, with 2x2 pushback seats, air suspension, per-seat charging and a music and microphone system. Tolls, state permits, fuel and the drivers' overnight stay and parking at the resort were all inside the coach arrangement.
Finding a new resort 17 days before the event
ICE India's first-choice resort could not hold the dates when it confirmed on 7 October that it was fully booked. The same day, the shortlist was screened again against the revised numbers, with the room count and headcount settled lower, and a replacement resort near Ramnagar was quoted that evening.
The group was fixed at 110 employees in 55 twin-sharing rooms, and the programme moved to the new property on the same dates.
The stay and the food
Lunch was served on arrival, with check-in alongside it, and high tea followed in the late afternoon. The Saturday dinner opened with starters, two vegetarian and two non-vegetarian, served alongside soft drinks and a bar run by the resort under its excise licence. Breakfast and a farewell lunch followed on the Sunday.
All food was cooked and served by the resort. The only exception was the packed breakfast boxes that left Noida with the group.
Team building on the lawns

The afternoon programme was two facilitated sessions run by a specialist team-building partner, with facilitators, equipment and props supplied. Mini Olympics split the group into teams for relays and games across the lawn, with coloured cones and balls marking each station.
The Drum Circle came next. The group sat in a ring of chairs with a drum each and played together to a facilitator's lead, a format that needs no skill and no preparation. The two sessions together ran for about three hours.
The evening programme
Dinner was set around a DJ with sound, stage lighting and a diesel generator as backup power. The resort's rules allow outdoor music until 22:15, so the DJ programme was built to that limit and the music licence was arranged in advance. A PA system with microphones covered the leadership address on the Saturday evening and the closing session on the Sunday.
What made it work
- One plan from Noida to Noida
- Coaches, rooms, meals, activities, music and an ICE India team travelling with the group ran as a single plan, with one team answering every question.
- A programme sized to the hour
- On a day that starts with an 08:00 departure and a long drive, the afternoon and evening had to be short, physical and easy to join, which is why team building was two facilitated sessions rather than a long agenda.
- Limits built in early
- The outdoor music cut-off, the resort's own bar licence and the drivers' overnight stay were settled in the plan rather than on the day.
- A replacement found the same day
- When the first resort fell through, the re-screen and the new quote were done in hours, so the dates held.

Questions this event answers
How far is Jim Corbett from Noida, and how does a group get there?
Jim Corbett is about 240 km from Noida by road. For Cloudsufi, ICE India ran three coaches on a fixed 08:00 departure with one short halt, and a single comfort halt on the way back, so 110 people travelled together and arrived for a lunch on the same day. See Jim Corbett for corporate groups.
What does an employee retreat with no business agenda include?
Travel, a resort stay, meals, activities and an evening programme, planned so people mix across teams. At this retreat that meant two facilitated team-building sessions and a DJ dinner, with the speeches kept to a short address and a closing session.
What do you plan around when music is part of an outdoor event?
Local noise rules and licences. The resort's outdoor music cut-off was 22:15, so ICE India built the DJ programme to that limit and arranged the music licence ahead of time. See corporate MICE and offsites.
What happens if the chosen venue becomes unavailable close to the event?
The brief is re-screened against the actual numbers and a replacement is quoted quickly. Here the first resort confirmed it was full on 7 October, and a replacement resort was quoted that evening, 17 days before the event.
