How does corporate event management work?

Corporate event management means one agency takes responsibility for the concept, venue, production and final settlement. ICE India works in six stages, and each one ends with something the client can approve before the next begins. The event planning timeline turns the stages into dates for your event.

1. Brief
ICE India starts with the objective, the audience, the date and city, the budget range and any brand guidelines. A clear objective decides the format, the venue and what the programme needs to include.
2. Concept and proposal
You receive a concept, a venue shortlist and a line-by-line cost breakdown. Changes are made on paper, before any venue or vendor is held.
3. Venue and vendors
ICE India confirms the venue and appoints production, AV, catering, talent and décor partners it has worked with before, so lines of communication are already open.
4. Run of show
The event is written as a minute-by-minute script covering stage, speakers, cues, AV and service. It is shared with every vendor and rehearsed on site.
5. Delivery on the day
An on-ground team runs the programme and handles guest coordination, with contingency plans agreed in advance for weather, delays and technical faults.
6. Debrief and closure
After the event, ICE India holds a debrief with the client, settles vendors and closes the accounts against the approved estimate.

Events across several cities follow the same stages, repeated city by city.

How do you plan a product launch event?

A product launch should make the right audience understand the product and remember it. ICE India plans a launch backwards from that audience, whether it is channel partners, customers, the press or all three, and builds the format around how they will see the product.

A launch can be a single-city premiere or a campaign carried across cities with mobile production. Budgets for large product launches run ₹10-50 lakh or more, depending on scale.

Audience and message
Decide who must leave the room knowing what. Partners need margins and support, customers need a reason to switch, and journalists need a clear story.
Staging and demonstration
The stage, screens and product displays are designed so every seat sees the reveal and the demonstration, with a rehearsed unveiling.
Guest flow and follow-up
Invitations, registration, seating, hosting and what happens after the reveal are planned together, so guests are not left waiting at the door.

ICE India has run a launch across cities with mobile production. See the 40-city product launch case study and the product launches page.

What does a press conference or media event need?

A press conference is a short, controlled event. Journalists come for news, so the work is in making that news easy to hear, see and report. ICE India sets up press conferences and media previews, and the checklist below applies to both.

Venue and sound
A venue with good acoustics, enough seating, a podium and a backdrop that photographs cleanly. Microphones and a feed for television crews need to be tested before the guests arrive.
Media list and desk
A registration desk, a confirmed media list and a press kit with the statement, speaker details and images, so every journalist leaves with the same facts.
Speakers and questions
Speakers are briefed, the order is fixed and the question session is moderated, so the announcement is the headline.

Read the guide to organising a successful press conference for the set-up in more detail.

How do you plan a customer networking event?

A customer networking event works when guests have a reason to talk to one another. ICE India designs the evening so clients and partners meet in a relaxed setting, usually around a dinner, with entertainment chosen for the audience.

Small networking events are priced from ₹2-5 lakh. The cost moves with the guest count, the venue and the programme.

Guest list and seating
Seating is planned so people who should meet are placed together, and the hosts know who they are and who to introduce.
Programme and pacing
Short speeches, one anchoring act and time to mingle. The programme should support conversation.
Brand moment
A rebrand, a milestone or a new offer can be woven into the evening, as in the NEL evening below, without turning it into a presentation.

See how ICE India built a customer networking and rebrand evening with live sand animation, an illusionist and a retro band.

What goes into an annual day or family day?

An annual day or family day is a celebration for employees and often their families. The practical points are comfort for every age group, food that suits everyone, and activities and safe space for children. ICE India handles the venue, activities, catering and entertainment, and the arrangements on the day.

Venue and activities
A venue with space for children and older guests, with activities for each age group and a main stage programme that everyone can follow.
Food and comfort
Catering that covers dietary needs, with seating, shade or air conditioning and first-aid arrangements suited to families.
Awards and recognition
Many companies add long-service awards or team recognition to the day. For a larger recognition programme, see award ceremony management.

How do you choose an event management company in Mumbai?

Corporate event organisers in Mumbai are many, and the differences are in the detail. These are the checks that matter when comparing proposals, and the ones ICE India expects to be asked about.

Relevant experience
Ask for work of the same kind and size as your event, and speak to past clients, not only read their testimonials.
Understanding of the objective
A good agency questions the brief before proposing a concept. If the first reply is a price, it has not understood what you need.
Venue and supplier knowledge
The agency should recommend venues and caterers with reasons, and work with suppliers it already trusts.
A plan B
Live events go wrong in small ways. Ask what the agency does if the venue changes, a speaker is late or the AV fails.
A clear budget
Look for a line-by-line estimate, agreed before work begins, and an agency that tells you early when the plan and the budget do not match.
Who you will work with
Ask any agency who will be in the room on the day, and who answers the phone when something changes.

  • Dear Mufaddal & Shreya, A sincere note of thanks to you both for supporting us in curating and facilitating such a wonderful event for our team. As we said when we first appointed ICE, this is the first but definitely not the last of our annual events which we hope to host every year henceforth. Being our first employee rewards and recognition ceremony, we had the following objectives: A professional look and feel, Effective branding to showcase the products within our portfolio for our employees to re-visit, On-brand and useful merchandise for our team to take away, Team engagement that would leave the team motivated, energised and raring to go for the next 365 days ahead (the Drum Circle activity left the team nothing short of mesmerised)! You both delivered on all accounts! The approach was professional, time sensitive and you offered us solutions within our specified requirements. The event was executed seamlessly and made our employees go home feeling truly valued. Mufaddal, I must also add, I highly respect the fact that you personally get involved and were physically present and more so available for any concerns we raised for the entire duration of the event. A friendly yet confident and experienced approach clearly makes the team at ICE stand out in the event management sector and we would not hesitate in contacting the team again for future events. Thank you again.

  • Dear Mufaddal and Shreya, This was our first event and we approached ICE India for support. You both were very calm, composed and able to make decisions at once, quickly. You were able to understand our needs and always happy to help even when the plan changes last minute. You are very organized in your work which leads to minimum last minute issues – which we all know are bound to happen. We had a fantastic experience and were treated with thorough professionalism right from planning, organizing and executing the event. It was a fabulous experience working with you both and we cannot thank you enough for executing it so well. Kind regards, Gita

Frequently asked questions

What does an event management agency do?

An event management agency takes a corporate event from brief to closure. That includes the concept, venue, production, AV, talent, vendors, travel and on-ground delivery. ICE India has done this since 2009.

Which types of corporate event does ICE India manage?

ICE India manages award ceremonies, product launches, press and media events, customer networking events, annual and family days, and company milestone events. Conferences, offsites and incentive travel have their own pages, because they involve different planning, venues and travel logistics.

How much does corporate event management cost in India?

Cost depends on scale, venue and services, so ICE India quotes each event. Typical bands are ₹2-5 lakh for small networking events, ₹5-45 lakh for award ceremonies depending on scale, and ₹10-50 lakh or more for large product launches. A one-night conference for 200 people, including stay on twin sharing, F&B, AV and branding, runs ₹35-70 lakh, before GST.

Which Indian cities does ICE India work in?

ICE India is headquartered in Mumbai, where sales and delivery are based. Service locations in Delhi NCR (Gurugram), Goa, Jaipur, Bengaluru, Kolkata, Hyderabad, Chennai and Kochi handle delivery. Events are planned and quoted from Mumbai, so one team owns the brief wherever the event is held.

Can ICE India manage events outside India?

Yes. ICE India works with vetted local partners in 40+ countries and works across 50+ destinations. ICE India plans an overseas event the same way as a domestic one, with one brief and vetted local partners in the destination for venues, transfers and on-site delivery.

Who will manage my event?

Every enquiry gets a single point of contact, end to end. Founder Mufaddal Dahodwala is personally involved from planning to execution, the point clients mention most in their testimonials, so you deal with the person accountable for the result.

What should an event brief include?

A brief should state the objective, the audience and its size, the city and dates, the budget range, any brand guidelines and what success looks like. ICE India turns that into a concept, a venue shortlist and a line-by-line estimate. A short brief is enough to start, and ICE India will ask for the rest.

Does ICE India arrange licences and venue permissions?

ICE India plans for the permissions a corporate event needs, such as music licences, an alcohol licence and venue approvals, and checks them with the venue early. Requirements depend on the venue, city and programme. The guide to event licences in Mumbai sets out the common ones.

Can ICE India run one event across several cities?

Yes. ICE India plans multi-city events from Mumbai under one brief, with delivery teams in eight service locations and vetted local partners elsewhere. A launch or recognition programme is repeated city by city to one standard. See multi-city corporate events.
