What event logistics covers on the ground
Registration and rooming
RSVP and registration with cut-off dates and late-change control. One master rooming list across every hotel, with dietary and medical needs recorded per delegate.
Airport arrivals and transfers
Named coordinators meet each flight against a verified manifest. Vehicles are matched to the delegate and staged by arrival wave, with a backup vehicle in place.
Group air and rail travel
Itineraries from multiple origins and Indian cities, built so arrivals cluster around transfer windows and the first session.
Hotel coordination
Briefs to each hotel at 72 hours, 24 hours and on the day. Check-in sequencing, master account set-up and departure staging.
VIP and speaker handling
Separate arrival, dedicated vehicle, a named coordinator and a direct line. Speakers run as their own track, timed to the agenda.
Contingency and escalation
A written plan for flight delays, vehicle failure, room shortage and medical cases. Backups are named before the event.
How a programme runs
Brief and manifest
We map delegates, origins, arrival windows and hotel blocks into one master document.
Supplier briefs
Written briefs go to hotels, transport and AV. Each supplier is checked again at 72 hours, 24 hours and on the day.
Live movement
Flights are tracked, vehicles dispatched and check-ins sequenced. Each change or delay goes to its designated contact.
Close-out
Billing reconciliation, a review of unused room allocations and applicable charges, supplier settlement and a debrief with the client team.
Logistics on live programmes

ICE India ran local operations for a six-day hybrid conference for 2,500 delegates. A crew of 45+ covered registration, delegate kits, ushering and transport supervision, with 300+ airport transfers, daily hotel and venue shuttles and 30 sponsor booths.

150-person law firm retreat, Goa and Vietnam
A retreat for Talwar Thakore & Associates, run as two editions, Goa in 2023 and Ho Chi Minh City in 2024. Each edition had its own travel, rooming and movement plan for 150 participants.

Four-day corporate conference for 250
A conference with hotel, catering, production and an awards evening. ICE India coordinated hotel partners, catering and on-site operations across the four days.
What is delegate management at a corporate event?
Delegate management is the people side of event operations: registration, travel, rooming, communication and on-site handling for every attendee, from the first invitation to the departure transfer. It sits inside event management as a separate responsibility with its own lead, because the failures that hurt a programme are usually about people in the wrong place: a wrong room, a missed airport pickup, or a message that reaches delegates too late.
ICE India keeps registration, travel status, rooming, dietary and medical needs, arrival tracking and delegate communication in one controlled master document, so every team member works from the same version. Each programme has separate leads for delegate management, logistics operations, hotels and vendors, and a single programme director who owns the schedule and the client relationship.
- Before the event
- RSVP process, room categories, billing structure, dietary flags and arrival window mapping. An invitation, confirmation, travel brief, arrival instructions and an emergency contact card go to each delegate on a planned timetable.
- During the event
- Flights are tracked, vehicles dispatched, manifests updated and hotel check-ins sequenced. Every kind of change or delay has a designated contact, so decisions do not wait for a chain of approvals.
- After the event
- Billing reconciliation, a review of unused room allocations and applicable charges, rooming close-out, supplier settlement and a debrief with the client team.
How does conference registration work?
Registration starts as an RSVP process with a cut-off date and a clear rule for late changes. Each response records what the logistics plan needs: travel dates and origin city, room category, dietary and medical requirements, and any special assistance. That one record then feeds the rooming list, the arrival manifest and the transfer plan, so nothing is typed twice and no team works from an older copy.
On the day, registration desks are staffed by trained crew who check delegates in, hand out kits and badges, and direct people to sessions and shuttles. At ICANN85 in Mumbai, 45+ crew covered registration, delegate kit distribution, ushering and transport supervision, with rosters built around arrival peaks and session changes.

How is group air and rail travel planned for delegates?
ICE India plans group itineraries so that arrivals cluster around the transfer windows and the first session, rather than leaving each delegate to book on their own. For delegates flying in from several origins, that means aligning flights, allowing realistic time for immigration and baggage, and timing vehicles to when people actually reach the kerb, not the scheduled landing time.
For programmes that move between Indian cities, flights, trains or road transfers are planned against session timings, so a leg never cuts into a plenary or a dinner. Leadership, speakers and faculty are routed separately, with their own briefing and a coordinator who knows their schedule.
How are airport arrivals and transfers run?
Airport transfers are the most exposed part of a large programme, because many people arrive in a short window and any gap is visible at once. ICE India runs them from a verified manifest, with named coordinators, staged vehicles and checked routes, and nothing left to a verbal confirmation on the day.
- Arrival desk
- Confirmed manifests, flight tracking and meet-and-greet coordinators holding name boards. Arrival updates flow to the hotel and venue teams as they happen.
- Vehicles and dispatch
- Vehicle category matched to the delegate profile, convoy sequencing for large groups and a backup vehicle held in position. Drivers are briefed before the event.
- Routes and hotel handover
- Routes checked for traffic on the event dates, the hotel receives each arrival time, and a runner at the hotel so rooms are ready on arrival. A changed manifest has a written escalation path.
At ICANN85, ICE India handled 300+ airport transfers plus daily hotel and venue shuttles over six days. Read the ICANN85 case study.
How are rooming lists and hotel check-ins managed?
Hotels manage room inventory. ICE India manages how delegates move through it: allocation, check-in flow, billing accuracy and departure. The work starts from a standard rooming template and one master rooming list, which matters most when a programme spans several hotels. Separate lists that nobody controls centrally are how duplicate allocations and billing disputes start.
- Rooming template
- Room type, billing category, arrival and departure timing, special requirements and exceptions, held in one format across every property.
- Hotel briefs
- Written operations briefs to each hotel at 72 hours, 24 hours and on the day, with a named hotel contact confirmed each time.
- Check-in sequencing
- Group or staggered check-in based on arrival window and delegate numbers, so a coach load does not queue at one desk.
- Master account
- Master account set-up, exclusion lists and delegate-level billing instructions agreed before arrival, so incidentals are not billed to the wrong account.
- Welcome and room drops
- Welcome kits, room drops, branded collateral and amenities coordinated with the hotel's housekeeping and front desk.
- Departure
- Luggage staging, a checkout brief and transfer timing, so departures run as smoothly as arrivals.
How are VIP, speaker and government delegations handled?
Senior leaders and speakers need their own movement plan, while every delegate keeps the same service standard. ICE India gives them a separate arrival, a dedicated vehicle with a driver who knows the route and the fallback, a named coordinator briefed on their itinerary and a direct line to the team instead of the general broadcast. The room is checked and keyed before arrival, and departure is staged so nobody waits in the lobby.
Speakers run as a separate track inside the programme. Movement is timed to the agenda, with the green room, the AV briefing, a start buffer before each session and onward routing after it all planned in advance. Government and institutional delegations add documentation and protocol requirements, which are written into the plan from the start.
What contingency planning does an event logistics plan need?
Every ICE India programme carries a written contingency plan, with backups identified before the event and a designated contact for each kind of change or delay. Offline brief packs and printed contact sheets are issued to the team, because phones and networks fail on the day. The table shows the risks planned for on most programmes. The same planning ran behind the Rockefeller Foundation summit in Khandala, the Mastek 30th anniversary celebration and the Transasia 40-city product launch.
| Risk | Planned response |
|---|---|
| Flight delay or cancellation | Alternative travel options and delegate notification prepared in advance. |
| Vehicle breakdown | Backup vehicle allocated before the event. |
| Immigration or baggage delay | Revised transfer staging and a hotel notification protocol. |
| Late or no-show delegate | Manifest updated, room held and the host team notified. |
| Traffic disruption on event dates | Alternate route confirmed before the event. |
| Hotel room shortage | Escalation contact named in the signed rooming contract. |
| Supplier failure | Backup vendor identified before the event. |
| Medical emergency | Nearest hospital route confirmed and the coordinator briefed on the protocol. |
| If the programme runs behind schedule | Cut or resequence options agreed in advance. |
ICE India has run programmes through a storm and mid-programme concept changes. See the multi-city programme service for how this works across several cities.
Dear Mufaddal and Shreya, This was our first event and we approached ICE India for support. You both were very calm, composed and able to make decisions at once, quickly. You were able to understand our needs and always happy to help even when the plan changes last minute. You are very organized in your work which leads to minimum last minute issues – which we all know are bound to happen. We had a fantastic experience and were treated with thorough professionalism right from planning, organizing and executing the event. It was a fabulous experience working with you both and we cannot thank you enough for executing it so well. Kind regards, Gita

Sailors’ Society is an international Maritime Charity that host events and have projects all over the globe. This was our first event in India and we came to ICE for event support. They were very professional in their approach and advised from concept through to delivery. Without their help, we would have struggled to get our event right. Mufaddal was always happy to help, even when plans changed last minute and whole event concepts had to be re-thought. We will hopefully be doing another event in India and we would be happy to work with ICE Events again. Friendly and confident in their approach, we were happy that we had chosen the correct company to work with us on our Sailors’ Society Dinner.

We worked with ICE India for Confluence, our annual global partners meet. There were 4 other agencies who were pitching for this event and we finally chose ICE India due to their thorough understanding of our needs and the innovative ideas which they suggested for the event. Since this was the first time that we were working with ICE India for such a large scale event, we were a bit skeptical, but Mufaddal and his team were involved in every small aspect of the event and executed it seamlessly. The biggest thing that they bring to the table is the organized way in which they work, which leads to minimum last minute issues, which we all know is bound to happen in a large scale event. All in all it was a very good experience working with them.

Frequently asked questions
What does an event logistics company do in India?
An event logistics company runs the movement and administration behind a business event. That covers delegate registration, airport transfers, rooming, ground transport, supplier coordination, communication and contingency plans. ICE India does this as a corporate event management and MICE company, headquartered in Mumbai, with delivery teams in Delhi NCR (Gurugram), Goa, Jaipur, Bengaluru, Kolkata, Hyderabad, Chennai and Kochi.
Which company in India can handle all logistics for a business conference?
ICE India manages conference logistics from Mumbai. That includes venue and hotel coordination, coordination between production and operations, delegate travel, airport transfers, registration and on-site crew, with a single point of contact, end to end. ICE India has managed 500+ conferences, including the hybrid ICANN85 conference in Mumbai in March 2026.
What is the difference between delegate management and event management?
Event management covers the whole programme: concept, content, production, hospitality and logistics. Delegate management is the part focused on people, meaning their registration, travel, accommodation, communication and on-site handling. ICE India treats it as a separate responsibility with its own lead, run inside the same programme team so that delegate data, venue plans and supplier briefs never drift apart.
Can ICE India handle international groups visiting India for the first time?
Yes. Sailors' Society, an international maritime charity, came to ICE India for its first India event. ICE India handles arrival logistics, domestic connections and ground operations across Indian cities, and works as the India ground partner for agencies and corporate travel teams. Larger inbound programmes sit with the destination management service in India.
How does ICE India run multi-city programmes?
Each city gets its own logistics brief, a named local coordinator and an established supplier network. All of them report to one programme director who owns the unified schedule. ICE India handles sales from Mumbai and delivers through its service locations, which limits the handover failures common in multi-city programmes. More detail is on the multi-city events page.
What information does ICE India need to plan event logistics?
ICE India needs the event dates, the number of delegates and their origin cities, the venue or hotel shortlist, the arrival pattern and any VIP or speaker list. Dietary, medical and accessibility needs help too, as does the budget band. A short brief is enough to start; the guide to writing an event brief lists what to include.
