The brief

IDBI Federal Life Insurance has distribution teams, underwriters, customer service staff and support teams across India. Every year it brings them together for an outbound event that communicates strategy, aligns teams, recognises top performers and builds culture away from the office. The location rotates between Indian cities each year, so every edition needs fresh venue research, vendor vetting and local context, in a city where the company has no presence of its own.

The Hyderabad edition added a theme, 'Finding the Superstar Within', which connected personal potential to social impact through people who had given their working lives to a cause: Anand Kumar of Super 30, who coaches underprivileged students, and Preeti Patkar of the NGO Prerana, which works on child protection. The theme could not stay on the signage. The business messages, entertainment, decor and gifts all had to reinforce it without becoming heavy-handed.

Building the theme

The theme came from conversations with IDBI Federal's leadership about the mindset they wanted. Instead of the usual themes about excellence or winning, they wanted to lift aspirations beyond business metrics towards contribution to society. ICE India positioned every employee as a potential changemaker and drew parallels between business achievement and social impact.

The visual identity used large photography of ordinary people doing extraordinary things, and every later element led back to it: speakers, entertainment, decor and gifts.

Why Hyderabad, and the property

Hyderabad is well connected to other major cities, which matters for a pan-India attendance. Its hotels cost less than those in Mumbai or Bengaluru, its heritage offers distinctive entertainment (qawwali, Nizami cuisine), and the weather is pleasant in June. The shortlist balanced professional conference facilities with resort-style amenities so the event felt like an offsite rather than an extension of the office.

The event was held at Novotel Hyderabad. The programme needed a large plenary hall for the full group, breakout rooms for departments, outdoor space for team activities and rooms for two nights. The airport is about 30 minutes away, which simplified arrivals and departures.

Travel from across India

More than 150 employees travelled from Mumbai, Delhi, Bengaluru, Chennai, Kolkata and smaller cities. ICE India booked group flights from the main hubs with bloc rates and flexible change policies, because business priorities shift late. Employees in cities without direct flights were routed through convenient connections.

At Hyderabad airport, shuttle buses were scheduled in staggered runs against flight arrivals so nobody waited long. Each traveller had a pre-departure pack with the itinerary, packing suggestions, the weather forecast, emergency contacts and hotel and flight confirmations. Rooms were pre-assigned with welcome kits waiting, and an evening welcome reception with Hyderabadi appetisers let colleagues from different regions meet before the formal programme. Departures ran in coordinated shuttle runs through the final afternoon, with ICE India staff handling luggage and flight confirmations.

Business sessions

Mornings carried the business content, when energy was highest. Plenary sessions had the CEO and leadership present the annual strategy, performance reviews and market outlook. Breakouts let departments work through operational challenges. The stage was designed to look authoritative without feeling stiff, AV gave a clear view of presentations from every seat, and audio captured questions and answers. Timing could be adjusted live.

Short videos, musical interludes and coffee breaks in outdoor spaces separated the blocks. Afternoons carried team activities built on collaboration challenges that mirrored cross-functional work, followed by free time.

Bringing the social-impact speakers in

ICE India arranged a video message from Anand Kumar, founder of Super 30, and a live video-link interaction with Preeti Patkar of Prerana. The aim was to connect the attendees' insurance work to social safety nets, since cover prevents a family from being pushed into poverty when a breadwinner dies. The reframing positioned employees as contributors to social security rather than only as sellers.

Anand Kumar's message was screened mid-day, and the breakouts that followed took a different tone, with teams discussing how their work created safety nets. The live interaction with Preeti Patkar closed the gala evening.

The gala dinner and the qawwali

The dinner venue was dressed to evoke Hyderabad's Nizami heritage with traditional textiles, lantern lighting and rich colours, tying the event to its place. The Warsi Brothers, qawwali artists in Hyderabad's Sufi music tradition, performed during the meal. Their themes of devotion and human connection fitted the 'superstar within' idea, and the performance was chosen because it belonged to the city. ICE India agreed the repertoire with the artists, balancing traditional compositions with accessible pieces for guests unfamiliar with the form.

Awards were presented between musical segments to keep the pacing.

Recognition and gifts

Awards covered sales, customer service, underwriting and support teams, with categories that reinforced strategic priorities such as digital adoption, customer satisfaction and ethical practice rather than revenue alone. Winners were shown in video montages of their journeys with colleague testimonials, and trophies carried aspirational imagery.

For gifts, ICE India avoided standard corporate gifts. Goodie bags held biographies of Indian social entrepreneurs, products from NGO partners (handmade paper, organic soaps, crafts), donation certificates showing a contribution made in each employee's name to the featured causes, and Hyderabad items such as Irani chai sets and local handicrafts.

Arrival and the final day

ICE India coordinators met employees at Hyderabad airport with welcome signage and pointed them to their shuttle buses. The transfer to the hotel gave a first look at the city, and check-in was quick because rooms were pre-assigned.

The final day had reflective sessions in which employees discussed their takeaways and leadership gave closing remarks. The goodie bags were handed out during farewells.

Decor that carried the theme

The entrance showed large photographs of people from many walks of life, from teachers and doctors to social workers and business leaders. Stage backdrops in the halls carried quotations on human potential and service. Breakout rooms took different social-cause themes (education, healthcare, environment and women's empowerment) to start conversations about the link with participants' work.

ICE India runs the same format across cities as multi-city events, and handles staff travel as event logistics.

  • We engaged the services of ICE India for managing our Annual Meet at Hotel Novotel Hyderabad. We have been dealing with ICE India for many events and the fact that we have engaged them numerous times is an indicator of our satisfaction of their standards of service. The principle of the company, Mr. Mufaddal Dahodwala, personally gets involved in the event, right from the planning stage until execution. He adds tremendous value by giving his inputs on what & how to be done. His personal touch to the events is truly appreciated. The Hyderabad event was very successful and much appreciated by the attendees, a smooth flowing event without hiccups.

  • We worked with ICE India for Confluence, our annual global partners meet. There were 4 other agencies who were pitching for this event and we finally chose ICE India due to their thorough understanding of our needs and the innovative ideas which they suggested for the event. Since this was the first time that we were working with ICE India for such a large scale event, we were a bit skeptical, but Mufaddal and his team were involved in every small aspect of the event and executed it seamlessly. The biggest thing that they bring to the table is the organized way in which they work, which leads to minimum last minute issues, which we all know is bound to happen in a large scale event. All in all it was a very good experience working with them.

  • ICE India has been managing our corporate travel incentives since 2012. As a corporate our requirements are usually specific, involve a last minute rush, lot of back and forth on dates, hotels, number of travelers, etc. Through all of this, it's a pleasure dealing with Mufaddal and his team for the way they manage the trip and the group. The best part is the personalized service and the rapport our group shares with Mufaddal by the end of the trip. All the best!

Questions this event answers

Why rotate the offsite city every year?

It prevents the staleness of a repeated venue, lets each region's culture shape the entertainment, gives employees something to look forward to, and lets different regional teams showcase their home cities.

What should an annual offsite contain?

Strategy sessions, breakouts for departments, team activities, a rewards ceremony, destination entertainment, networking, good food and comfortable rooms. The best mix balances serious content with celebration.

How do you build a social-impact theme into a corporate event?

Invite speakers from the cause, tie business messages to a wider purpose, and let gifts and decor carry the theme too. Done properly, the idea runs through the whole programme. See corporate MICE.

How are multi-city arrivals and departures managed?

Group bookings, staggered shuttles matched to flights, and someone on call throughout. The agency absorbs the dietary, accessibility and family-travel requests that come in along the way.
