Why companies choose Rajasthan

  • Many destinations in one state

Jaipur for scale, Udaipur for lakes, Jodhpur for forts, Jaisalmer for the desert and Ranthambore for wildlife. Each suits a different brief.

  • Palaces as venues

Rambagh Palace, the Taj Lake Palace, Umaid Bhawan Palace and the new palace-style hotels host dinners and retreats that guests remember.

  • Space for large groups

JECC at Sitapura, Jaipur, has two column-free halls, and several hotels in Jaipur and Udaipur have ballrooms above 10,000 sq ft.

  • Easy to reach from the metros

Non-stop flights from Delhi, Mumbai, Bengaluru, Hyderabad and others land at Jaipur, Udaipur or Jodhpur.

  • Culture built into the agenda

Folk music, block-printing, puppet shows, fort walks, camel rides and a village-style dinner are standard options.

  • One team for several cities

A single plan covers venues, transfers and the event day in every city on the circuit.

Rajasthan for corporate groups

Rajasthan is a multi-destination state, so the first decision is which city, or which combination. Jaipur is the largest hub, with the airport, the convention centre and the biggest ballrooms. Udaipur gives leadership groups lakes and palaces. Jodhpur adds forts and heritage hotels, Jaisalmer a desert setting and Ranthambore a national park.

Many programmes combine two or three: a conference in Jaipur followed by a palace retreat in Udaipur, or a desert gala in Jaisalmer after a Jodhpur meeting.

ICE India's Jaipur delivery team runs the largest Rajasthan programmes, with a single point of contact, end to end. It contracts the hotels, books flights and transfers, and runs AV, entertainment and the event day.

Combining cities: circuits that work

Distances in Rajasthan are long, so the usual rule is no more than one road leg of five to six hours a day, with an overnight at each stop.

Jaipur and Ranthambore
About 180 km and 3.5 to 4 hours by road. A conference in Jaipur, then a night or two in the park for safaris and a leadership dinner.
Jaipur, Jodhpur and Udaipur
The classic circuit of about 590 km. Jaipur to Jodhpur is 300 to 350 km (6 to 7 hours), and Jodhpur to Udaipur 250 to 280 km (about 5 hours). Groups fly in at one end and out at the other.
Udaipur, Jodhpur and Jaisalmer
A heritage and desert programme. Jodhpur to Jaisalmer is about 285 km, 5 to 5.5 hours by road or about six hours by overnight train. Fly into Udaipur and out of Jodhpur, or the reverse.
One city, many days
Groups that want depth stay in one city: Jaipur with day trips to Amer and the Pink City, or Udaipur with boat evenings and a Monsoon Palace sunset.

Where to go in Rajasthan

Rajasthan's capital and largest hub

Jaipur

Jaipur is the capital of Rajasthan and the western point of the Golden Triangle with Delhi and Agra. ICE India has its delivery team here, and most large Rajasthan programmes start in Jaipur: it has the biggest convention centre, a wide choice of ballrooms and palaces for the gala dinner.

Below about 1,000 delegates a hotel ballroom gives better service and a more intimate room. Above that, the Jaipur Exhibition and Convention Centre (JECC) at Sitapura is the realistic option in the state.

ICE India produced a 250-person leadership conference in Jaipur, from the master schedule and AV to the awards night.

Lakes and palaces

Udaipur

Udaipur is built around its lakes. Maharana Udai Singh II began the City Palace on the eastern shore of Lake Pichola in 1553, and the Monsoon Palace has looked down on the city from the Aravalli hills since 1884. For a corporate group that means evening programmes on the water, a gala dinner in a palace courtyard and a morning session with a lake in view.

The choice is between two kinds of venue. The lake palaces have 55 to 90 rooms and intimate halls, so they suit leadership retreats, board meetings and incentive groups, so a corporate retreat usually takes a lake palace. The newer resorts on the edge of the city have pillar-free ballrooms and large lawns. They are the MICE hotels in Udaipur for conferences of 300 or more.

Lake Pichola
The Oberoi Udaivilas, Trident, The Leela Palace and the Taj Lake Palace sit on or beside the lake, with Taj Fateh Prakash Palace inside the City Palace complex. Best for small leadership groups and gala dinners.
Fateh Sagar side
The LaLiT Laxmi Vilas Palace and the Radisson Blu overlook Fateh Sagar Lake on the north-west edge of the city, with larger ballrooms and lawns.
Outskirts convention resorts
The Udaipur Marriott (Tiger Hills, Badi Road), The Ananta in the Aravalli foothills and the Fairmont Udaipur Palace at Kamlod have ballrooms of roughly 10,000 to 13,500 sq ft.
Udai Sagar
Raffles Udaipur sits on Udai Sagar Lake east of the city, on the airport side, with a grand ballroom and large lawns.

Forts and heritage hotels

Jodhpur

Jodhpur, the blue city, is dominated by Mehrangarh Fort on a 125 m cliff, with Jaswant Thada nearby and Umaid Bhawan Palace on Chittar Hill, about 6 km from the fort. Hotels fall into three types: heritage palaces (Umaid Bhawan Palace, Ajit Bhawan, Raas in the old city), conference hotels near the airport (Radisson, WelcomHotel) and resorts on the edge of town (Indana Palace, Rohet Garh).

Jodhpur suits groups of 100 to 400 that want a fort evening and a palace dinner. The largest indoor spaces are around 10,000 sq ft, so very large conventions are better placed in Jaipur. Outdoor lawns take far larger groups: Zanana Garden at Ajit Bhawan about 600, and the WelcomHotel lawns up to about 3,000.

The golden city and the desert

Jaisalmer

Jaisalmer is the golden city, with a living sandstone fort, carved havelis and the Sam sand dunes about 40 to 45 km away. Its corporate role is the gala dinner and incentive experience, not the conference: indoor halls are modest, but desert camps, lawns and fort-side terraces take large evening groups. Suryagarh, Fort Rajwada, the Jaisalmer Marriott Resort & Spa and Taj Gorbandh Palace are the main corporate hotels.

Most groups fly to Jodhpur and continue by road or overnight train, so plan a night in Jodhpur on the way, or a full day for the transfer.

Tigers and the wildlife leg

Ranthambore

Ranthambore National Park is near Sawai Madhopur. It suits small leadership groups, incentive trips and the wildlife leg of a longer circuit. Resorts are small, most with 40 to 60 rooms and a hall for 50 to 150, so groups of more than about 150 are split across hotels or hosted on lawns.

Safaris set the rhythm: morning and afternoon drives of about three and a half hours in canters (20 seats) or gypsies (6 seats), with a limit on vehicles per zone per shift, so a large group is split across zones and shifts.

Bookings are made online through the Forest Department up to 90 days ahead, with ID for every guest. Evening programmes finish early: loudspeakers and DJs are barred within 1 km of the reserve from 10 pm to 6 am.

When to go

Most corporate programmes run from October to March. Jaipur and Udaipur are mild then, with Udaipur at roughly 5 to 28°C. Jodhpur and Jaisalmer are best from November to February, when highs are 24 to 29°C, with desert nights that can fall to 1 or 2°C in Jaisalmer. Typical formats are two nights and three days in one city, or five to seven nights on a circuit.

April to June
Hot: May reaches about 42°C in Jodhpur and Jaisalmer, and 40 to 45°C elsewhere.
July to September
Monsoon. Udaipur's lakes are fullest and rates are lowest, with rain needing indoor plans.
Ranthambore safari zones
Open from 1 October to 30 June; zones 1 to 5 close from July to September while zones 6 to 10 stay open.
February
The Jaisalmer Desert Festival at the Sam dunes.

Events ICE India has run in Rajasthan

  • A global testing and certification company

A 250-person leadership conference in Jaipur, produced from the master schedule and AV to the awards night, the gala dinner and an outing to Amer Fort.

  • National Bulk Handling Corporation (NBHC)

The employee awards began in Mumbai and were repeated in Jaipur, one of four cities on the programme.

  • Transasia Bio-Medicals

The 2019 analyser launch reached Jaipur on 13 April at the Radisson Blu and Jodhpur on 14 April at the Taj Hari Mahal.

  • We worked with ICE India for Confluence, our annual global partners meet. There were 4 other agencies who were pitching for this event and we finally chose ICE India due to their thorough understanding of our needs and the innovative ideas which they suggested for the event. Since this was the first time that we were working with ICE India for such a large scale event, we were a bit skeptical, but Mufaddal and his team were involved in every small aspect of the event and executed it seamlessly. The biggest thing that they bring to the table is the organized way in which they work, which leads to minimum last minute issues, which we all know is bound to happen in a large scale event. All in all it was a very good experience working with them.

  • I've had the pleasure of working with ICE India on multiple events in the past 5 years. Mufaddal gives a special touch to every event with his innovative ideas, personalized service and kickass execution! The ICE India team is easily accessible and attentive to our needs. I've found them to be very organized, creative and thoughtful of all aspects leading up to the event and the event day itself. Mufaddal gets personally involved in all matters from ideation to execution and uses his experience to execute all events seamlessly and always has a "plan B" in place for any potential issues. They have a good vendor partner group and have been able to accommodate all event planning seamlessly, exceeding our expectations every time. I would highly recommend ICE India for event planning and have referred them to other companies in my contact sphere.

  • The acronym ICE stands for Impressive, Capable, and Efficient. It was so calm and well-managed that they were able to handle the whole event from scratch. The company is experienced in handling things such as negotiations, customisation, and creativity. Our event was managed by ICE India in such a way that our client was unstoppable in appreciating it. It is Mufaddal who is the backbone of ICE India and he has a wonderful team to support him in managing any event. We had a great time working with ICE India, and I am sure they will go far in this industry. A big thank you to the team at ICE India.

Planning an event in Rajasthan: questions

Which Rajasthan city is best for a conference of 500 to 1,000 people?

Jaipur. It has JECC and hotels with ballrooms of 10,000 sq ft or more, and the airport is close. For 500 to 1,000 delegates the Hyatt Regency, Novotel with JECC, Crowne Plaza and Marriott are the usual shortlist. Udaipur's outskirts resorts (Fairmont, The Ananta, Marriott) also take about 750 to 1,200.

Can we hold an event at a palace in Rajasthan?

Yes. Rambagh Palace and Jai Mahal Palace in Jaipur, the lake palaces in Udaipur and Umaid Bhawan Palace in Jodhpur host dinners and receptions. Most suit the gala better than the main conference, because their indoor halls are small. ICE India handles permissions, décor and logistics.

How long should a multi-city Rajasthan programme be?

Plan one overnight per city and keep road legs under six hours: three nights for Jaipur and Ranthambore, five to seven nights for Jaipur, Jodhpur and Udaipur. Add a night in Jodhpur on the way to Jaisalmer.

What team activities work for a corporate offsite in Rajasthan?

Pink City treasure hunts, block-printing workshops, fort walks, lake boat evenings and desert evenings are the usual choices. A structured activity in the day followed by a lighter cultural evening suits teams of mixed ages.

What does a corporate event in Rajasthan cost?

It depends on the cities, season, hotel category, flights and experiences. For reference, ICE India's published bands put a one-night conference for 200 people at ₹35-70 lakh including stay on twin sharing, F&B and AV, before GST. ICE India quotes each programme after a short brief. See corporate MICE.
