MICE companies in Delhi NCR: corporate events in Delhi, Gurugram and Noida

Delhi, Gurugram and Noida share two airports, one metro network and a dense venue market, from five-star ballrooms to a 6,000-seat convention centre. ICE India's delivery team in Delhi NCR (Gurugram) runs conferences, offsites and award nights across all three.

Why companies choose Delhi NCR

  • Non-stop from the main metros

Delegates from Mumbai, Bengaluru, Kolkata and Chennai fly non-stop to Delhi and land within a few hours of each other.

  • Venues from 20 to 6,000 people

Boardroom hotels in Chanakyapuri, ballroom hotels at Aerocity and in Gurugram, and Yashobhoomi and Bharat Mandapam for the largest conventions.

  • Three business districts

Delhi for prestige and government access, Gurugram for corporate headquarters, Noida and Greater Noida for space and exhibitions.

  • Metro and expressway links

The Airport Express runs from New Delhi station to Aerocity and Yashobhoomi, and the Dwarka Expressway links Delhi to Gurugram.

  • Heritage on the programme

Mughal tombs, the Red Fort and Lutyens' Delhi fill an afternoon between sessions without leaving the city.

  • Food for every group

Old Delhi food trails, hotel kitchens that cater for large vegetarian and Jain groups, and dine-around evenings in Gurugram.

Delhi NCR for corporate groups

Delhi NCR is three places that work as one region for events. Delhi is the capital, with palace hotels around Chanakyapuri and Connaught Place, two national convention centres and the monuments clients ask to see. Gurugram holds the largest cluster of corporate headquarters and some of the biggest hotel ballrooms in the region. Noida and Greater Noida, across the Yamuna, add space and lower rates for exhibitions and large annual meetings.

The choice usually follows the audience. A leadership group wants Lutyens' Delhi or a Gurugram hotel with strong meeting rooms.

A dealer meet of 500 wants a ballroom with road access from Haryana and Uttar Pradesh. An international delegation wants Aerocity, five minutes from the terminal. ICE India sources venues, flights, transfers, AV, production and entertainment as one plan, with a single point of contact, end to end.

ICE India is an event management company in Delhi with a delivery team in Gurugram, and the places below are the venue clusters it shortlists most.

MICE companies in Gurgaon: ICE India's team in Gurugram

ICE India's delivery team for Delhi NCR sits in Gurugram, so the people who quote a venue have walked it. The district holds corporate headquarters, Cyber Hub dining and the largest hotel ballroom in the region, about 20,700 sq ft at Hyatt Regency Gurgaon.

Cyber City is 15 to 35 minutes from Terminal 3, and the Dwarka Expressway links Delhi and Gurugram. For a two-night offsite, resorts around Sohna and Manesar are within reach. If you are comparing MICE travel companies in Delhi, ICE India's MICE travel agency books the flights, hotel blocks and transfers with the event.

Delhi, Aerocity, Gurugram or Noida

Four bases, each with its own hotels and character. Delhi traffic decides how a day is planned, so ICE India schedules coach departures against the peak drive time, not the best case.

Flights to Delhi NCR from the main Indian cities

Convention centres for large events

Past about 1,500 people, the choice moves from hotels to purpose-built centres. Both national centres are on metro lines and also host exhibitions and government events, so dates are set early. Vigyan Bhawan, the government venue, is not open to corporate hire.

When to go

October to March is the main season. Typical formats are a one-day conference, or two nights and three days for an offsite.

October to March
Daytime highs run from about 19°C in January to 28°C in November, with almost no rain.
April to June
Highs pass 36°C and often 40°C, which favours indoor programmes.
July to September
The monsoon brings about 480 mm of rain over the three months.
November to January
Air-quality rules restrict outdoor set builds, diesel generators, open tandoors and fireworks. Indoor events are not banned at any stage, and ICE India plans an indoor alternative for every outdoor evening in these months.

  • The acronym ICE stands for Impressive, Capable, and Efficient. It was so calm and well-managed that they were able to handle the whole event from scratch. The company is experienced in handling things such as negotiations, customisation, and creativity. Our event was managed by ICE India in such a way that our client was unstoppable in appreciating it. It is Mufaddal who is the backbone of ICE India and he has a wonderful team to support him in managing any event. We had a great time working with ICE India, and I am sure they will go far in this industry. A big thank you to the team at ICE India.

Priti SinghLead - Human Resource, KlinEra
  • We worked with ICE India for Confluence, our annual global partners meet. There were 4 other agencies who were pitching for this event and we finally chose ICE India due to their thorough understanding of our needs and the innovative ideas which they suggested for the event. Since this was the first time that we were working with ICE India for such a large scale event, we were a bit skeptical, but Mufaddal and his team were involved in every small aspect of the event and executed it seamlessly. The biggest thing that they bring to the table is the organized way in which they work, which leads to minimum last minute issues, which we all know is bound to happen in a large scale event. All in all it was a very good experience working with them.

  • I've had the pleasure of working with ICE India on multiple events in the past 5 years. Mufaddal gives a special touch to every event with his innovative ideas, personalized service and kickass execution! The ICE India team is easily accessible and attentive to our needs. I've found them to be very organized, creative and thoughtful of all aspects leading up to the event and the event day itself. Mufaddal gets personally involved in all matters from ideation to execution and uses his experience to execute all events seamlessly and always has a "plan B" in place for any potential issues. They have a good vendor partner group and have been able to accommodate all event planning seamlessly, exceeding our expectations every time. I would highly recommend ICE India for event planning and have referred them to other companies in my contact sphere.

Planning an event in Delhi NCR: questions

How early should we book Delhi NCR hotels?

Weddings fill NCR ballrooms heavily from November into February, so ask for holds as soon as the dates are fixed. ICE India keeps a second hotel in reserve for the dates that matter.

Do we need permission for music, alcohol or an outdoor event in Delhi?

Yes, in most cases. Loudspeakers are not allowed outdoors between 10 pm and 6 am, Delhi Police require prior permission for sound systems, a temporary excise licence covers alcohol at non-licensed venues, and Delhi has had a year-round firecracker ban since 2025, so plan without fireworks. Hotels with their own licences simplify this, and ICE India confirms each requirement with the venue.

What does a corporate conference in Delhi NCR cost?

It depends on the venue, the dates and where delegates fly from. ICE India's published bands put a one-night conference for 200 people at ₹35-70 lakh, twin sharing and before GST, and ICE India quotes each NCR programme after a short brief. See corporate MICE.

Is Gurugram or Delhi better for a 200-person conference?

Gurugram suits teams whose offices are there, and Delhi hotels suit groups that want prestige or access to government. Both have halls that hold 200 comfortably, so the deciding factor is usually where most delegates are flying in from and how long the transfer from the airport will take.
