What does MICE stand for, and what is MICE tourism?

MICE stands for Meetings, Incentives, Conferences and Events. Corporate MICE is business travel with a purpose: a group of employees, partners or customers travels to one place for a defined business reason, and the trip is paid for by the company, not the traveller.

MICE tourism is the leisure and hospitality side of the same activity: hotels, venues, transport, sightseeing and dining bought for a corporate group. A MICE agency sits between the two. ICE India designs the business programme, sources the hotels and venues, arranges group travel and runs the days on site.

Meetings
Board meetings, sales meets, dealer and partner meets, and training programmes held away from the office.
Incentives
Reward trips for top performers, agents or channel partners, built around recognition as much as travel.
Conferences
Company conferences, industry summits and conventions with speakers, sessions and registered delegates.
Events
Product launches, award ceremonies, trade shows and expos, including stands, booth builds and visitor management.
Offsites
Leadership and team retreats that combine working sessions with time away from routine.
Travel management
Group flights, visas, rooming and transfers that move every delegate to the right place on time.

How does a MICE agency work with a client?

A MICE agency takes a business objective and turns it into a programme with dates, venues, travel and a budget. At ICE India the same team that writes the proposal also delivers it, so nothing is lost between sales and operations.

The stages below follow the six steps in the process above, with the detail of what you give and what you receive at each one. To see when each stage falls for your dates, use the event planning timeline.

1. The brief
You share objectives, expected group size, preferred dates, budget range and any destination preference. ICE India asks about who is travelling and what the programme must achieve.
2. Shortlist and quote
ICE India returns a programme recommendation, a destination or venue shortlist and a costed proposal. Site visits can be arranged before you commit.
3. Contracts
Once you choose, ICE India negotiates and contracts the hotels, venues, transport and suppliers, and agrees the payment schedule with you.
4. Pre-event
Registration, group flights, visa documentation, rooming lists and delegate communication are handled in the weeks before travel.
5. On site
The ICE India team runs arrivals, sessions, meals, excursions and the evening events, and solves problems as they arise.
6. Closure
Supplier settlements, final reconciliation and a debrief with you on what worked and what to change next time.

How is a corporate incentive trip planned?

An incentive trip is a reward, so it is planned backwards from the people who earn it. ICE India starts with who qualifies and what motivates them, then chooses a destination, hotel and programme that the winners will want to talk about afterwards.

The Tata AIG Life trip on this page is an example: a reward and recognition trip for top-performing agents that combined travel with a conference and an awards ceremony.

Qualifiers and rules
How many people are earning the trip, how they qualify, and whether partners or spouses travel with them.
Destination fit
A place the group has not already visited, within a flying time and visa process that suits the budget and the season.
Programme design
Free time balanced with a few shared moments: a welcome evening, a day of excursions and a closing gala.
Recognition moment
An awards session or dinner where the company thanks winners in front of their peers.
Travel and visas
Group flights, visa documentation, insurance cover where required and airport transfers, planned together.
On-site support
A team at the hotel and on every excursion, with a plan for delays, illness and changes of weather.

To plan a reward trip step by step, read the reward trip section of the offsite planning guide.

How do you plan a corporate offsite?

A corporate offsite takes a team out of the office for a purpose: planning, agreeing priorities, a hard conversation or a reset. The venue and the agenda should follow that purpose.

ICE India plans offsites in India and abroad. The table shows how the three most common formats differ.

Common offsite formats
FormatUsual purposeWhat ICE India arranges
Leadership offsiteStrategy, annual planning, decisions that need quietA private meeting room, working-session setup, quality hospitality and one shared activity
Team offsiteAgreeing priorities, bonding and cross-team workingVenue and stay, facilitated sessions, team activities and a networking dinner
Annual retreatRecognition and renewal for a whole firm or business unitTravel for the full group, a plenary day, excursions and an evening programme

The Talwar Thakore & Associates retreat on this page ran as one domestic and one international edition. For a step-by-step method, see the guide to annual corporate offsite planning.

What is the difference between outbound and inbound MICE?

The terms describe the direction of travel. Outbound MICE takes a group from India to another country. Inbound MICE brings a group from another country to India. The planning steps are similar, but the suppliers, visas and regulations are different.

For outbound programmes the same ICE India team plans the programme from Mumbai, so you are not handed from one company to another. Overseas companies planning a programme in India can write to the same Mumbai team.

A MICE travel agency for group flights, hotels and visas

ICE India works as a MICE travel agency for corporate groups. The team that plans the programme also books the group flights and hotels, handles visa documentation and runs rooming and airport transfers, so no delegate is passed to a separate travel desk. Travel for a group without an event around it is covered on the corporate travel page.

How much does a MICE programme cost, and what drives the price?

MICE costs depend on the format, the group and the destination, so ICE India quotes to your brief. For reference, the published bands are ₹2-5 lakh for a small networking event and ₹35-70 lakh for a 200-person, one-night conference, including stay on twin sharing, food and beverage, AV and branding, before GST. Incentive trips and offsites are quoted to the brief.

Group size
Rooms, meals and transport scale with the number of people, but venue and production costs do not scale in the same way.
Destination
A domestic programme and a long-haul trip differ in flights, visa costs and the cost of ground transport.
Season
Peak-season hotel rates and group flights cost more and sell out earlier.
Duration
Each additional night adds stay, food and activities for every delegate.
Hotel category
A five-star resort, a convention hotel and a heritage property price very differently.
Production
Stage, AV, branding, gifts and entertainment are separate cost lines that depend on how elaborate the programme is.

  • ICE India has been managing our corporate travel incentives since 2012. As a corporate our requirements are usually specific, involve a last minute rush, lot of back and forth on dates, hotels, number of travelers, etc. Through all of this, it's a pleasure dealing with Mufaddal and his team for the way they manage the trip and the group. The best part is the personalized service and the rapport our group shares with Mufaddal by the end of the trip. All the best!

Frequently asked questions

What does a MICE agency do?

A MICE agency plans and runs Meetings, Incentives, Conferences and Events for companies. ICE India handles destination and venue sourcing, hotel contracting, group travel, registration, on-site coordination and the programme itself, from the first brief to the final debrief. ICE India also negotiates supplier contracts and manages the budget.

What is the difference between a MICE agency and a travel agent?

A travel agent books tickets and rooms. A MICE agency also designs the programme, negotiates venues, produces sessions and events, manages registration and runs the on-ground operation. ICE India does both the travel and the event work, so one team is accountable.

Which destinations suit a corporate incentive trip from India?

Popular choices within India include Goa for beaches, Rajasthan for heritage, Kerala for backwaters, the Andaman Islands for adventure and Coorg for wellness. The right choice depends on group size, budget, season and the purpose of the trip. ICE India also plans trips abroad.

Can ICE India manage MICE programmes outside India?

Yes. ICE India works with vetted local partners in 40+ countries and has delivered programmes across 50+ destinations. Visa documentation, group flights and airport transfers are handled by the same team that plans the programme. ICE India also manages hotel contracts and ground transport at the destination.

How is incentive travel different from a corporate offsite?

An incentive trip rewards people who have met a target, so the programme is built around recognition and leisure. An offsite is a working trip for a team or leadership group, so the agenda is built around sessions and decisions. ICE India plans both, and a single trip can combine them, as the offsite planning guide explains.

Which international destinations suit MICE programmes from India?

Dubai, Thailand and Vietnam are short flights from India and suit incentive trips and offsites. Singapore, Malaysia and Bali are popular alternatives, and European cities such as Paris and Prague suit longer trips. See the destination guides for more.
