A worked example

A conference for 150 to 500 people on 15 June 2027, planned from 15 December 2026, gives 26 weeks. The first steps and the last one fall like this:

  • About 18 weeks before: Brief and budget agreed
  • About 17 weeks before: Ask venues and hotels for quotes
  • About 13 weeks before: Sign the venue and hotel contracts
  • About 11 weeks before: Send the save-the-date and open registration
  • About 6 weeks before: Confirm sound, lights, screens and stage
  • On the day: Event day

How far ahead to start

Event planning checklist: when to start, by kind of event. The shorter lead times are for events under 50 guests and the longer ones for events of 500 or more.
Kind of eventStart planning
Offsite or incentive trip in India6 to 13 weeks before
Offsite or incentive trip abroad8 to 13 weeks before
Conference or dealer meet8 to 26 weeks before

Most of these dates are for conferences and awards nights. ICE India runs both: see conference management and award ceremony management.

How we worked it out

How we worked it out
  • We start from how early ICE India asks clients to begin: three to six months for a large event, less for a small one, and about three months for the largest offsite or incentive trip groups, less for a small one.
  • Every step is placed at a set share of that time before your event. Steps in the last two weeks, like the final headcount, keep fixed days.
  • Hotels usually want the list of who sleeps in which room about 30 days ahead. Airlines want traveller names 30 to 45 days ahead. We allow eight weeks for visas.
  • If you have less time than the plan needs, we squeeze the early steps closer together and tell you.
  • Dates that fall on a weekend move to the Friday before, or the Monday after the event. Public holidays are not included, so check them against your dates. Your contracts set the real deadlines.

Event timeline questions

How far ahead should I start planning a corporate event?

ICE India's advice is three to six months for a large event such as a launch, gala or conference of 200 or more people. A small event can come together in two to four weeks. An offsite or incentive trip starts about three months out for the largest groups, less for a small one. The plan above starts earlier as the group gets bigger.

What if my event is sooner than the plan needs?

The page tells you and squeezes the early steps into the time you have. Some happen in the same week, and you will have fewer venues and suppliers to choose from. Steps close to the event, like the final headcount, keep their dates.

When should visas be applied for?

At least eight weeks before travel is a safe rule. Each country sets its own rules and times, and they change, so check the destination page for the country you are going to.

Can I print the plan or put it in my calendar?

Yes. Press Print, or choose Add to calendar and open the file in Google Calendar, Outlook or Apple Calendar. Each step becomes an all-day entry. It is made in your browser, and nothing about your event is sent to us unless you choose Email me this plan.
