The brief
ICANN85 was a six-day hybrid public meeting at Jio World Convention Centre, with delegates in the room and online: working sessions, public forums, stakeholder meetings, board-level interactions and a sponsor exhibition, all on a fixed agenda. In-person delivery had to be precise because a virtual audience was watching the same sessions, which raised the bar for venue readiness, crowd flow and support staffing.
ICE India was the local execution partner in Mumbai. The role covered several operations running at once: front-of-house conference delivery, hotel and venue movement, delegate kits and staffing, sponsor hospitality, venue branding and back-of-house compliance, and the sponsor exhibition build. The plan had to keep registration, shuttles, sponsor servicing, dining reservations, booth fabrication and ballroom operations moving in parallel without one holding up another.
What ICE India delivered
Registration and delegate services
45+ staff on registration desks, kit distribution, ushering and transport supervision, rostered around arrival peaks and session changes.
Transfers and shuttles
300+ airport arrival and departure transfers, and daily shuttles between the official hotel and the convention centre.
Sponsor and executive hospitality
Restaurant reservations for sponsor C-suite meetings and board dinners, handled inside the main operating plan.
Gifting and print
A gift for every delegate, led by jute laptop bags and locally made keepsakes, and 20+ printed brochures delivered on schedule.
Ballroom readiness
Branding, fire safety, licensing, security and housekeeping for the Lotus and Jasmine ballrooms through the live event.
Exhibition build
Around 30 sponsor booths fabricated and installed, sequenced around registration flow and public footfall.
Staffing and delegate services
ICE India deployed and managed more than 45 staff across registration desks, delegate kit distribution, ushering and transport supervision. Rosters were built around arrival peaks, session changes and ballroom traffic, so delegates, sponsors and senior stakeholders always had visible support across the venue.
Delegate kits were handled as a controlled logistics task rather than a last-minute desk job. Kits, printed materials and gifts were organised for structured distribution, which kept registration orderly even at the busiest arrival windows.
Transport and hotel movement
Transport was one of the most sensitive parts of the project. ICE India managed more than 300 arrival and departure transfer requests and ran daily shuttles between Grand Hyatt Mumbai and Jio World Convention Centre.
That meant two linked systems: individual airport transfers and a scheduled hotel-to-venue shuttle. Both needed accurate scheduling, transport supervisors on the ground, constant communication with the hotel, and live reconciliation between delegate movement and the conference timetable, so international attendees moved between airport, hotel and venue without friction.
Sponsor and executive hospitality
ICANN85 carried sponsor-facing hospitality that sat outside the plenary and meeting-room schedule. ICE India managed restaurant reservations for sponsor C-suite meetings and board-level dinners, and handled these smaller but high-stakes engagements with the same control as the main conference. The emphasis was reliability, privacy and timing, coordinated with local hospitality partners and transport.
Gifting, printing and delegate materials
ICE India managed gifting for 2,500 people. The core giveaway was a sustainable jute laptop bag, with locally made keepsakes alongside it: ethnic-design tea cups, coasters, fridge magnets and key chains. Sponsor-supplied technology products were handled separately. Everything had to be packed consistently and be easy to distribute at scale.
ICE India also printed more than 20 brochures and related materials, managed as part of the wider delegate communications and venue-readiness plan, with quantity control and on-site availability checked against the agenda.
Ballroom readiness and the exhibition
For the Lotus and Jasmine ballrooms, ICE India managed venue branding, fire safety, licensing, security and housekeeping. Branding had to stay clean and conference-appropriate while safety, access and licensed operations ran dependably through a live international schedule. In a venue like this, readiness is housekeeping cycles, security presence, licensed execution and vendor timing, not just appearance.
ICE India also fabricated around 30 sponsor exhibition booths. Booth work was sequenced around registration flow, sponsor schedules and public footfall, balancing sponsor visibility with the operational needs of a global public meeting.
What made it work
- One operational view
- Registration, kits, staffing, transport, sponsor hospitality, print, gifting, compliance and the exhibition ran as one operating plan, not as separate vendor tasks.
- Local control for a global meeting
- Delegates see the desks, shuttles, booths and ballrooms; those depend on coordination by the ICE India operations team across registration, transport, the exhibition and venue requirements.
- Detail at volume
- 2,500 delegates, 300+ transfers, 20+ brochures and 30 booths at one event is a sequencing and reconciliation exercise as much as a conference.
- Executive needs inside the plan
- Sponsor and board reservations were part of the main schedule, so they never competed with registration or transport for attention.

Questions this event answers
What does a local execution partner handle at an international conference in India?
The operational layer that makes the event work on the ground: registration staff, delegate kits, airport transfers, hotel shuttles, venue branding, ballroom compliance, booth fabrication, printing, gifting, hospitality bookings and vendor coordination. At ICANN85 in Mumbai, ICE India ran all of these as one integrated operation rather than as separate vendor tasks.
How are airport transfers and daily shuttles managed for delegates?
As two linked systems: individual arrivals and departures, and a scheduled hotel-to-venue shuttle. ICE India handled more than 300 transfer requests for ICANN85 while running daily shuttles to the convention centre, with live schedule tracking, hotel coordination and transport supervisors on the ground. See event logistics and delegate management.
How many staff does a conference of this complexity need?
It depends on the format, but a multi-day international meeting needs separate teams for registration, kit distribution, ushering, transport supervision and sponsor support. ICE India deployed more than 45 crew at ICANN85 and rostered them around arrival peaks and session movement.
Why do gifting and print need managing as logistics?
Because at conference scale they are volume and timing problems. At ICANN85, a meeting for 2,500 delegates, ICE India handled a gift for every delegate and 20+ printed brochures, packed and staged so they were available at the right desk at the right session, without slowing registration. Quantity control and delivery timing matter as much as the items themselves.
Can ICE India run a sponsor exhibition alongside the main conference?
Yes. At ICANN85 ICE India fabricated around 30 sponsor booths and handled C-suite and board hospitality while the wider conference ran. Booth work is timed against registration flow and public footfall so the exhibition never blocks delegates. See conference management.
