The brief

A global testing and certification company brought 250 senior leaders, regional managers and operational teams to Jaipur for four days, to align on its 2025 priorities, celebrate the previous year and share updates from its sustainability, renewables, infrastructure and certification divisions.

The agenda ran to 14 major content blocks: executive keynotes on results and priorities, division presentations, and eight regional performance presentations. Day one opened with strategy and ended in awards night. Day two ran more than ten hours of divisional content and the gala dinner. Day three continued regional updates with an outdoor team activity at Amer Fort, and day four finished the regional presentations and closed. Content, production, rooms, catering and evenings all had to hold together at once.

What ICE India delivered

  • Master schedule

One plan covering 250 arrivals, 14+ sessions, eight regional presentations, two evening events, the Amer Fort outing and 250 departures.

  • Hotel coordination

Group rates and a mix of single and double rooms at Clarks Amer, with a 24-hour liaison with the hotel throughout the four days.

  • Technical production

Sound for 250 in the main room and for breakouts, presentation systems for every speaker's laptop, and stage lighting and video for the awards.

  • Awards night

Category and winner coordination with management, confidential until announced, a rehearsed running order and stage design.

  • Catering and dietary needs

Ten or more meal services, from the staggered arrival lunch to the themed dinners, with vegetarian, vegan, halal, Jain and allergy needs tracked per guest.

  • Amer Fort outing

Transport for 250 from the hotel to the fort, group movement, photography points and a timed return for the evening.

Master schedule and speakers

ICE India built one schedule that placed every arrival, session, meal, evening and departure against the others. It avoided long stretches without breaks and spaced heavy content with lighter activity. Breakfast was sequenced for 08:30 session starts, tea breaks fell on session changes, and dinners were timed around the evening programme.

Speakers were briefed before the event on timing, technical specifications such as PowerPoint compatibility and video, stage protocol and Q&A. Each had a run-of-show sheet with their slot, their introduction and the Q&A rules, and the technical team held backup copies of speaker material so a failed laptop could be recovered quickly.

Rooms, arrivals and the hotel team

The partnership with Clarks Amer began weeks before the event. ICE India negotiated group rates, secured a mix of single and double rooms, and designed check-in so that 250 simultaneous arrivals did not queue. Room preferences, accessibility needs, dietary requirements and arrival times were collected from participants in advance.

On site, the ICE India team stayed at the front line for late arrivals, room changes and questions, so the hotel's staff could concentrate on service. Housekeeping, early breakfast, lunch, tea breaks, dinners and day-four departures were all aligned to the conference timetable through a 24-hour liaison.

Sound, screens and stage

The venues were assessed in advance for AV needs. The main room had a professional sound system for keynotes, the breakout rooms had microphone systems for presenters, and the awards stage was lit professionally with video projection for categories and winners.

A technical team stayed on site for all four days, testing each speaker's presentation ahead of time, managing microphones, playing video content and maintaining backup systems for the moments that could not fail: the executive keynotes and the awards. Redundant AV meant an equipment fault would not stop either.

Awards night

Awards planning started weeks ahead. ICE India worked with management on categories, nominees and winners, and kept results confidential until the moment of announcement. Winners were told beforehand where attendance needed to be assured, so that no one missed their own recognition.

The stage had its own lighting and backdrop, and video showed each category and its winners. Audio was set so that executive remarks, which often accompanied the awards, carried across the room. The running order was rehearsed, which kept announcements prompt and free of dead air, and photographers captured the presentations.

The gala dinner and the Amer Fort outing

The day-two gala dinner was planned as both a dinner and a celebration, with a stage, lighting and sound for performances and video to carry organisational highlights. The shift from formal service to entertainment was choreographed in advance.

The outdoor activity on day three was a different kind of operation. ICE India moved 250 participants from the hotel to Amer Fort, managed group movement at the site, arranged photography points and timed the return so the group was back for the evening. Packed meals or external catering supported the outing, and emergency support was on call.

People on site

A senior ICE India coordinator was on site for all four days with authority to decide. The team managed arrivals and registration, moved speakers between sessions, held sessions to time, answered participant requests, supported hotel staff, handled technical problems immediately and documented the event in photographs and video.

Contingencies were planned: backup contact procedures for a late speaker, redundant systems for the awards, immediate coordination with the kitchen if a dietary need was missed, and medical support protocols for a health issue.

What made it work

One schedule for everything
Arrivals, sessions, meals, evenings and the fort outing were planned against each other, not in separate documents.
A hotel that could carry 250
Early planning with Clarks Amer and a 24-hour liaison kept hotel services in step with the programme.
Redundancy where it counted
Backup AV and speaker files covered the keynotes and awards, the moments that could not be repeated.
Decisions on site
A senior coordinator able to act immediately stopped small problems becoming large ones.

The awards night and the gala at Amer Fort are part of what ICE India plans. For events in Jaipur, the heritage guide covers forts and palaces, and event logistics covers delegate movement.

Questions this event answers

What does managing a 250-person, four-day conference involve?

A master schedule for arrivals, sessions, meals, evenings and departures, hotel and room management, AV and speaker support, catering with tracked dietary needs, and a senior coordinator on site. See conference management.

How do you manage 250 people checking in at once?

Collect room preferences, accessibility needs and arrival times in advance, agree room allocations and group rates with the hotel early, and set up check-in so arrivals do not queue. A 24-hour liaison with the hotel handles late arrivals and room changes.

How do you protect keynotes and awards from technical failure?

Assess each room in advance, test every speaker's file beforehand, keep a technical team on site, and hold backup AV equipment and presentation copies for the moments that cannot be repeated.

How is an awards night kept a surprise?

Agree categories and nominees with management well ahead, keep winners confidential until announcement, tell only those whose attendance must be assured, and rehearse the running order with lighting, video and audio cues.
