The brief

Confluence is Godrej Appliances' annual meeting for vendor partners, distributors and key stakeholders from across India and international markets. The first edition ICE India produced, in 2017, was its ninth year, and every edition had raised the bar on production, entertainment and business content. Previous editions had been run by other agencies, so ICE India was following established benchmarks and was asked for a fresh perspective that still fitted the Godrej brand.

The day had several jobs at once: communicate business priorities, recognise top partners through meaningful awards, build relationships between very different stakeholders, show Godrej's culture of innovation, and send partners into the new year motivated. It also had to work for international delegates unfamiliar with Indian cultural references. Four other agencies pitched; Godrej chose ICE India.

What ICE India delivered

  • Concept and identity

The theme Teamwork Makes Dreams Work, carried through stage sets, signage, presentation templates and photo booths.

  • Business content design

Dense slide decks rebuilt as infographics, animated charts and partner success videos, mixed with panels and testimonials.

  • Live performance

A sand animation opening and a shadow dance between award categories, both built around the theme.

  • Participation

A 20-minute a cappella session that taught the whole room to sing in parts, and a Bollywood dialogue game for international partners.

  • Awards production

Theatrical lighting, dramatic reveals and a personalised video for each award category, run by a professional emcee.

  • Welcome and photo booths

Themed welcome kits at registration and photo booths with instant prints across the venue.

The 2017 edition: one theme across everything

The theme, Teamwork Makes Dreams Work, was introduced at registration through custom branding and visual metaphors: interlocking gears, synchronised patterns and collective hand imagery. The same imagery appeared on the stage set, the presentation templates, the signage and the photo booths, so the theme was something delegates met at every turn rather than something that was announced once.

The point of the approach was to stop treating business content and entertainment as separate blocks. Each entertainment element was chosen to make the same point as the business content around it.

A sand animation instead of a slide

A man in a waistcoat drawing in sand on a lit table at the front of the stage

Instead of unveiling the theme with a presentation, ICE India commissioned a sand animation storyboard performed live on stage. The artist drew individual grains forming larger structures, which illustrated how partnership achieves more than separate effort. The artist was already working as delegates entered the hall, which built curiosity before the opening session. Many in the audience had never seen the form live. The performance was recorded and reused as social media content.

Business content people could follow

ICE India worked with Godrej's marketing team to redesign the business presentations. Key data became infographics and animated charts, and video segments featured real vendor success stories. Executive presentations alternated with panels and partner testimonials to vary the pace through several business sessions, and every template carried the theme's visual identity.

After lunch, when attention usually drops, the business content moved into shorter, more dynamic formats: panels instead of monologues, video case studies and interactive Q&A with leadership.

The a cappella session

A guitarist and a singer performing to delegates standing in the ballroom, with a bright light behind them

The idea of the day was a participatory a cappella. A professional group divided the audience into sections, each given a different vocal part: bass lines, harmony and rhythm. Over 20 minutes the audience learnt to sing together using only their voices. Alone, each section sounded incomplete, which was the point of the theme. In the finale, 300+ people sang a well-known song together.

It was scheduled for mid-morning, when energy usually dips, and it gave partners who might never otherwise talk a shared reason to laugh before the afternoon sessions.

Awards, shadow dance and the Bollywood game

The recognition programme was staged as a celebration rather than a formal ceremony. A professional emcee kept energy high while respecting what was being recognised, and each winner's journey was shown through custom content, so other partners could see what recognition looked like.

Between award categories, a shadow dance troupe used backlighting and choreography to form shapes and stories on screens, another demonstration of individual parts making a unified picture. Near the end, the emcee asked international partners to deliver famous Bollywood film dialogues in Hindi. Phonetic translations and context made it funny without being embarrassing: Indian attendees saw their cinema celebrated, and overseas partners enjoyed a playful challenge.

Photo booths with puzzle-piece props, stronger-together messaging and group poses that needed coordination ran throughout the venue and produced instant prints with event branding.

How the day was paced

Registration came first, with theme-branded welcome kits. The sand animation opened the hall, leadership presentations followed in the redesigned format, and the a cappella took the mid-morning slot. After lunch, shorter and more varied business content led into the awards in late afternoon, where lighting changes marked the shift from business to celebration. The Bollywood game came near the end, and the day closed with a message from Godrej's leadership.

What made it work

Entertainment that carried the message
Sand animation, a cappella and shadow dance each acted out the teamwork theme the business content was about.
Watching and doing
Performances were balanced with activities the audience performed itself, so the memorable moments were ones people took part in.
A bridge for international delegates
The Bollywood game gave overseas partners a way in, built on laughter rather than explanation.
Familiar structure, fresh parts
The awards structure and business flow stayed as Godrej's partners expected, while specific components changed.

  • We worked with ICE India for Confluence, our annual global partners meet. There were 4 other agencies who were pitching for this event and we finally chose ICE India due to their thorough understanding of our needs and the innovative ideas which they suggested for the event. Since this was the first time that we were working with ICE India for such a large scale event, we were a bit skeptical, but Mufaddal and his team were involved in every small aspect of the event and executed it seamlessly. The biggest thing that they bring to the table is the organized way in which they work, which leads to minimum last minute issues, which we all know is bound to happen in a large scale event. All in all it was a very good experience working with them.

Questions this event answers

How do you refresh an annual partners meet?

Keep the structure partners rely on, such as the awards and the flow of business content, and change specific components: in 2017 that meant a sand animation opening, an a cappella session and a shadow dance, all tied to one theme.

What makes a partners meet work for international delegates?

Cultural bridges built on shared laughter. At Confluence, overseas partners attempted famous Bollywood dialogues with phonetic help, which built warmth before the business discussions.

How do you make business content hold attention across a full day?

Turn dense slides into infographics, animated charts and partner videos, alternate presentations with panels and testimonials, and put shorter formats and activities where attention usually dips, after lunch and mid-morning.

Why keep one agency across several editions of a partners meet?

A repeat team already knows the client's partners, awards structure and approvals, so each new city starts from a working plan instead of a blank page.

How do you stage live performance alongside business content?

Treat production as part of the programme: lighting transitions, audio mixing, video playback and stage management are planned together so the performance reads as art rather than technical effort. See conference management.
