Planned by ICE India, with vetted local partners on the ground.

Why companies choose Sri Lanka

  • Short flights, no time difference

Flights take one and a half to four hours, and Sri Lanka keeps the same time as India, so no working time is lost to jet lag.

  • A free visa

Indian passport holders need only an online travel authorisation, which is free and covers 30 days.

  • Beach and heritage in one stay

Bentota's beach resorts are about a 95 km drive from the airport, and Galle Fort is further down the same coast.

  • Ballrooms for large groups

Colombo hotels hold 500 to 2,500 in one hall, and the BMICH main hall seats about 1,600.

  • Culture and wildlife close by

Sigiriya, Kandy, the tea country and Yala National Park each make a day trip or a one-night extension.

  • Indian food is easy to find

Colombo has North Indian restaurants with vegetarian menus, and hotel kitchens are briefed ahead for vegetarian and Jain guests.

Sri Lanka for corporate groups

Sri Lanka suits Indian companies that want a beach, some culture and a proper meeting room within one short flight. The island is small, so the coast, the hill country and the ancient sites are each within a day's drive of Colombo.

Most groups split the stay. Colombo gives the ballroom and the city sights, and a coastal resort such as Bentota gives the beach days. Conferences of a thousand or more use the big Colombo hotels or the BMICH.

ICE India plans Sri Lanka incentive trips and offsites through vetted local partners and runs conferences in Colombo. For a second trip in the same budget, compare Malaysia. For group flights, hotels and visas to Sri Lanka, see corporate travel.

Visas for Indian passport holders

Indian passport holders travel on a free electronic travel authorisation, called an ETA. ICE India applies for the whole group.

Visa type
A free tourist ETA since 25 May 2026, valid for 30 days with double entry. It also covers short business visits. Stays can be extended at the Department of Immigration and Emigration in Colombo.
Processing time
Approvals usually arrive within a few days. ICE India applies two to three weeks before departure and tracks every approval.
Documents
Passport details from every guest, with each passport valid for six months, plus an onward flight out and a hotel booking that is already confirmed.
On arrival
A visa can be bought at Colombo airport, but it means a queue at immigration. Groups travel with the ETA already approved.

What most groups book Sri Lanka for

A morning at sea with whales and a day on the hill-country railway. Either can anchor a programme.

Four passenger boats with guests on board on the open sea off Mirissa, Sri Lanka

Blue whales off the south coast, November to April

Whale watching from Mirissa

Boats leave Mirissa harbour at about 6:30 am and head out to the deep water where blue whales feed. The trip takes three to five hours, with 30 to 60 minutes spent alongside the whales.

Sightings are never guaranteed, but December to March is the calmest period. A group returns to its resort by late morning for a relaxed afternoon.

Time
Early start, back in harbour by 10:30 or 11:00 am.
Group size
Smaller boats of up to 30 guests give the best views, so a large group sails on several boats together.
As the gala night
Not an evening event. Groups pair it with a beach dinner at the resort that night.
Food
Breakfast is arranged by the resort before the early start, with vegetarian and Jain options.
A passenger looking out of an open train window as the train runs through the Sri Lankan hill country

Tea estates, tunnels and bridges between Kandy and Ella

The hill-country train

The railway climbs from Kandy through tea country to Nanu Oya, the station for Nuwara Eliya, and on to Ella. The full run takes six to seven hours, so a group can drive to Nanu Oya and board there for the best stretch.

Seats are reserved in advance, and bookings open 30 days before travel, so ICE India secures the group's coaches early.

Time
A half day or a full day, depending on where the group boards.
Group size
Reserved seats are booked as a block, so groups book as early as the railway allows.
As the gala night
A dinner at a hill-country hotel at the end of the ride.
Food
Packed lunches arranged by the hotel, where the kitchen is warned about vegetarian and Jain meals ahead of time.

Where to go in Sri Lanka for an office trip

Sri Lanka's places for an office trip sit close enough to combine several bases in one programme. Most groups pick the coast for the stay, then add a day in Colombo, Galle or the hills.

The lit-up towers of Colombo seen at night from the Lotus Tower

Ballrooms, the Galle Face seafront and the city sights

Colombo

The commercial capital, where the Colombo conference hotels hold the largest ballrooms. Shangri-La, Hilton, Taj Samudra and Cinnamon Life sit within a few kilometres of Galle Face Green, the seafront promenade, and the airport is about 45 minutes away by road.

City sights fit between sessions: Gangaramaya Temple, Beira Lake, Independence Square and the spice and cloth stalls of Pettah. Evenings can end on a hotel lawn or at the Lotus Tower, which has an observation deck and a banquet hall above the city.

Colombo also has licensed casinos, among them City of Dreams Sri Lanka, whose casino opened inside Cinnamon Life in August 2025, and Casino Marina. Foreign visitors register with a passport and enter free.

Colombo is also where most groups hold the gala. The Shangri-La ballroom seats 1,440 for dinner and the Taj Samudra marquee lawn about 900. The Galle Face seafront is a few minutes from both, so guests can walk to the sea before the evening programme starts.

Where groups stay
Shangri-La, Hilton, The Kingsbury, Taj Samudra, ITC Ratnadipa and Cinnamon Life, with ballrooms for 500 to 2,500.
Large halls
The BMICH main hall seats about 1,600, and the Lumina Ballroom at Cinnamon Life about 1,550 in theatre style.
Climate
Highs stay between 30 and 33 °C all year, so outdoor evenings work best in the dry season, from December to March.
Indian food
Navratna at Taj Samudra, The Mango Tree and Indian Summer serve North Indian food, with vegetarian dishes on every menu.

Resorts on the sand, about 15 minutes to 1 hour 35 minutes from the airport

Negombo, Bentota and the beach coast

Negombo lies beside the airport, with a fishing lagoon and large beach hotels such as Jetwing Blue, whose ballroom holds 800. Bentota, about 95 km from the airport, has the resorts that suit incentive trips, with a river, a long beach and water sports.

Further down the coast, Ahungalla and Weligama add resorts with ballrooms for 200 to 500. A coach from Colombo reaches Bentota in under two hours, so a group can hold a morning session in the city and be on the beach by afternoon.

Groups landing late can spend the first night at Negombo, minutes from the terminal, and take the coach south in the morning. Those arriving early go straight to Bentota. Either way the transfer stays short, because the expressways run from Katunayake towards the south coast.

Resorts
Taj Bentota has 160 rooms, Cinnamon Bentota Beach 159, Heritance Ahungalla 152 and Weligama Bay Marriott 198.
Ballrooms
The Orchid Ballroom at Taj Bentota seats 275, and the ballroom at Cinnamon Bentota Beach takes up to 300.
Water sports
Jet skis and banana boat rides at Bentota Beach suit a morning of team games.
Dinners
Beach and riverfront lawns at Cinnamon Bentota Beach hold 400 to 450 guests.

A rocky bay seen from the walls of Galle Fort

Galle Fort, the lighthouse and Mirissa

Galle and the south coast

Galle Fort is a UNESCO World Heritage site, a Dutch-built fortified town of old houses, churches and cafes above the sea. Groups walk the ramparts to the lighthouse at sunset, with time in the small shops and cafes inside the walls.

Mirissa, a short drive east, is the base for whale watching from November to April. The southern expressway links Colombo, Galle and the beaches, and cuts the drive from Colombo to Galle to about an hour.

Weligama, between Galle and Mirissa, is known for surfing, and its resort works as a base for a group that wants both the fort and the whale boats within a short drive. Heritage-led programmes add a second day for the fort and the old town.

Heritage walk
A guided walk covers the ramparts, the lighthouse, the churches and the lanes of the old town.
Where groups stay
Weligama Bay Marriott has 198 rooms and a ballroom for about 500, on the bay east of Galle.
At sea
Trips from Mirissa also see sperm whales, Bryde's whales and spinner dolphins, over three to five hours.
Evenings
Larger groups usually return to a coast resort for the evening, such as the beach lawns at Bentota.
Kandy Lake and the town among green hills, with a white temple on the ridge
Kandyan drummers and dancers on stage in Kandy

The Temple of the Tooth Relic and Kandyan dance

Kandy

The hill capital and the cultural heart of the island. The Temple of the Tooth Relic stands beside Kandy Lake, and evening Kandyan dance shows suit a group night out.

Kandy is cooler than the coast, with highs of 28 to 31 °C and lows of 19 to 21 °C. Most groups come for a day or one night between the coast and the tea country, and the town is the usual starting point for the hill-country train.

Groups reach Kandy by coach from the coast or Colombo, or by train. A day there adds temples, a walk by the lake and an evening show to a programme, and it pairs well with the tea country to the south-east, reached by the scenic railway.

Temple of the Tooth
Guests remove their shoes and cover their shoulders, and the group is told the rules before the visit.
Where groups stay
Earl's Regency has about 135 rooms and a Regent Ballroom for up to 500. Cinnamon Citadel has 119 rooms.
Kandyan dance
Drummers and masked dancers perform in the evening at the Kandyan Cultural Centre, usually before dinner.
Esala Perahera
The festival of elephants, drummers and dancers runs through Kandy in July and August.

Tea estates and forested hills near Nuwara Eliya

Tea estates and cool air at 1,900 metres

Nuwara Eliya and the tea country

Known as Little England, Nuwara Eliya sits among tea estates at about 1,900 metres. Groups tour a tea factory, taste fresh Ceylon tea and stay in colonial-style hotels such as Heritance Tea Factory and Jetwing St. Andrew's.

It is the end point of the hill-country train ride, and a cool change from the beach for a group that has spent the first days on the coast.

Programmes that include it usually spend one night, arriving by train or by coach from Kandy and leaving the next morning. The cool air suits an indoor dinner, and a morning at an estate adds a walk among the tea bushes and a factory visit before the group moves on.

Climate
Daytime highs are 19 to 22 °C and nights fall to 10 to 13 °C, so guests need a jacket.
Tea estates
Factory tours show how leaves become tea, and a tasting of fresh Ceylon tea follows.
The train
Nanu Oya is the station for the town, and the scenic railway runs on from there to Ella.
Best months
January to March are the driest months in the hill country, and December to March are clear.

Sigiriya rock seen across the plain

The rock fortress and ancient cities

Sigiriya and the cultural triangle

Sigiriya is a 5th-century rock fortress, a UNESCO World Heritage site that rises about 200 metres from the plain. Groups climb it early to beat the heat, and the view from the top covers forest and plain.

Heritance Kandalama, a Geoffrey Bawa-designed hotel near Dambulla, is the usual base, with a conference centre of six meeting spaces. The distance from Colombo means groups plan an overnight stay.

A typical day starts with the climb at first light, then breakfast and a swim at the hotel, with the afternoon free for the pool or a village visit. Groups that add Kandy build a loop of two or three nights through the middle of the island, a different Sri Lanka from the beach.

The climb
The rock has gardens at its foot, frescoes on the way up and a summit with the ruins of the palace.
Where groups stay
Heritance Kandalama has 152 rooms, and its main hall measures about 3,200 sq ft and holds 300 in theatre style.
Combining it
The cultural triangle pairs naturally with Kandy, so many groups link the two in one inland loop.
Timing
Start early at the rock, and keep the afternoon free at the hotel.

Flights from the main Indian cities to Sri Lanka

Every flight lands at Bandaranaike International (CMB) at Katunayake, 32 km north of central Colombo, about 45 minutes by road. Bentota is about 1 hour 35 minutes by expressway, and Negombo is minutes from the terminal.

Peak season for hotels and flights. Book ballrooms and group seats early.
November to April
Whale watching at Mirissa runs through these months, calmest from December to March.

  • We engaged the services of ICE India for managing our Annual Meet at Hotel Novotel Hyderabad. We have been dealing with ICE India for many events and the fact that we have engaged them numerous times is an indicator of our satisfaction of their standards of service. The principle of the company, Mr. Mufaddal Dahodwala, personally gets involved in the event, right from the planning stage until execution. He adds tremendous value by giving his inputs on what & how to be done. His personal touch to the events is truly appreciated. The Hyderabad event was very successful and much appreciated by the attendees, a smooth flowing event without hiccups.

Karthik RamanChief Distribution Officer, IDBI Federal Life Insurance Co. Ltd.
  • We worked with ICE India for Confluence, our annual global partners meet. There were 4 other agencies who were pitching for this event and we finally chose ICE India due to their thorough understanding of our needs and the innovative ideas which they suggested for the event. Since this was the first time that we were working with ICE India for such a large scale event, we were a bit skeptical, but Mufaddal and his team were involved in every small aspect of the event and executed it seamlessly. The biggest thing that they bring to the table is the organized way in which they work, which leads to minimum last minute issues, which we all know is bound to happen in a large scale event. All in all it was a very good experience working with them.

Mufaddal, throughout the planning stages, you were incredibly responsive and proactive in addressing any questions or concerns we had. You provided us with valuable insights and recommendations that helped us create a customized program that perfectly met our needs for a good balance between team building, local experiences and fun.

During the event, your team was exceptional in their coordination and execution. They were always available to help and ensure everything was running smoothly. I appreciate you being there to supervise everything and act as a point of contact throughout the event, going out of your way to accommodate any last-minute needs or changes. Your personal involvement really helped us deliver a memorable and meaningful offsite.

Overall, I am thrilled with the experience your team provided us.

Planning an event in Sri Lanka: questions

What about vegetarian, Jain and halal guests in Sri Lanka?

ICE India briefs hotel kitchens and restaurants in advance, scouts them before the trip and adjusts menus daily. Vegetarian and Jain guests get full meals, familiar Indian dishes sit beside Sri Lankan ones, and spice levels are managed.

What does an incentive trip for dealers and channel partners look like?

Most pair two or three nights at a beach resort with a day in Colombo or Galle, and hold the awards night in a resort ballroom or on a beach lawn. Share the number of qualifiers and the departure cities, and ICE India plans flights, hotels and programme around them.

Can we split the group between two bases?

Yes. Some programmes keep leadership sessions in a Colombo hotel and send the rest of the group to a beach resort, or run a hill-country extension for a smaller group. ICE India plans the coaches and flights for each part.

Do you act as a destination management company for Sri Lanka?

ICE India plans programmes for Indian companies travelling to Sri Lanka, through vetted local partners. If you are an agency or tourism board looking for representation in India, see Destination Representation.
