Why companies choose Hong Kong and Macau

  • Two cities in one programme

Macau is about 60 km west of Hong Kong across a road bridge, so one trip can hold a harbour city and a resort city.

  • Halls for large groups

The Hong Kong Convention and Exhibition Centre has a 3,800-seat Grand Hall, and Cotai in Macau has ballrooms for 1,600 or more.

  • Easy entry for Indian groups

Macau is visa-free for 30 days. Hong Kong is visa-free for 14 days after a free online registration.

  • Indian food is easy to find

Both cities have Indian restaurants, including pure vegetarian kitchens, so vegetarian and Jain guests have plenty to choose from.

  • A skyline and a heritage core

Victoria Peak and the harbour in Hong Kong, then the UNESCO-listed old town of Macau, fit into the same week.

  • Team activities on the doorstep

Dragon boating, lion dance workshops, tai chi and a bungee jump from Macau Tower all suit group programmes.

Hong Kong and Macau for corporate groups

Hong Kong is the city for headquarters-style conferences, with the Hong Kong Convention and Exhibition Centre on the harbour, tower hotels with large ballrooms and an efficient rail and tram network. Macau is the resort city. Its Cotai hotels have ballrooms, arenas and restaurants under one roof, so a large group can stay and meet without a coach.

Most programmes use both. A common split is two nights in each, with the conference in Hong Kong and the gala in a Cotai resort.

A trip can continue to mainland China. For group flights, hotels and visas to Hong Kong and Macau, see corporate travel.

Visas for Indian passport holders

Hong Kong and Macau have separate entry rules. ICE India briefs every traveller on both before departure.

Hong Kong
Indian passport holders visit for up to 14 days without a visa after a free online pre-arrival registration. It is valid for six months and allows several visits. Each traveller prints the notification slip and carries it with the same passport. The passport needs six months of validity.
Macau
Indian passport holders visit for up to 30 days without a visa and without a fee. The passport needs to be valid for 90 days beyond the planned stay.
Crossing between the two
Macau and Hong Kong have separate immigration. A group that returns from Macau enters Hong Kong again, so the registration must still be valid and the slip printed.
Longer stays
A stay of more than 14 days in Hong Kong, or a registration that is refused, needs a visa from the Hong Kong Immigration Department.

Two evenings groups plan around here: Victoria Harbour and the Cotai Strip

An evening on Victoria Harbour and a night in a Cotai resort. Most groups choose one of the two for the gala night.

Red sails, the skyline and dinner on deck

A junk cruise on Victoria Harbour

A traditional Chinese junk with red sails leaves from Tsim Sha Tsui and crosses the harbour in front of the Hong Kong Island skyline. It is a classic welcome dinner for an incentive group.

The cruise suits a leadership team of 30 to 80. A larger group charters several boats, or splits across a junk and a hotel dinner.

Time
From two hours, with a sunset or evening departure.
Group size
Private charter takes up to about 80 guests on one junk.
As the gala night
Drinks on the upper deck, dinner in the saloon and a short awards ceremony.
Food
Buffet catering on board, plus vegetarian and Jain dishes ordered ahead.

Ballrooms, arenas and shows in one district

A resort night on the Cotai Strip

Cotai is a strip of resort hotels built on reclaimed land between Taipa and Coloane. Each resort has its own ballroom, restaurants and shows, and several have arenas that seat thousands.

A conference can run in the ballroom by day. The gala then moves to a larger hall or an arena stage in the evening, without leaving the district.

Time
A full evening, from arrival drinks to the late show.
Group size
Ballrooms hold 1,000 to 5,000 and arenas up to 15,000 or 16,000.
As the gala night
A seated dinner for 1,300 or more in the larger resort ballrooms, with stage, sound and an awards ceremony.
Food
Resort kitchens cook to a set menu, with vegetarian and Jain meals briefed in advance.

Where to go in Hong Kong and Macau

Hong Kong is a harbour city on the island and the Kowloon peninsula. Macau is a peninsula and the Cotai strip. Groups pick a hotel base in each and travel out for dinners and sightseeing.

Victoria Harbour, the Peak and the islands

Hong Kong

Hong Kong Island holds the business district of Central and Admiralty, with the Peak above it and Wan Chai to the east, where the convention centre stands on the harbour. Kowloon, across the water, has Tsim Sha Tsui, Hung Hom and the street markets of Mong Kok and Yau Ma Tei.

Lantau Island, with the Tian Tan Buddha, Disneyland and the airport, is about half an hour from the city. Hotels there suit groups that land late or leave early. The south side of the island has Ocean Park, on its own hill above the sea.

Groups often split the stay: two nights on the island for the conference, then Kowloon for the incentive evenings. The Star Ferry crosses the harbour in minutes for a group with an hour to spare.

Incentive stays

The old town and the Cotai resorts

Macau

The Macau Peninsula holds the historic centre: the Ruins of St. Paul, Senado Square and A-Ma Temple, all within walking distance of one another. The UNESCO-listed old town suits half-day walks, heritage dinners and photo stops between sessions.

Cotai, a short drive south on reclaimed land between Taipa and Coloane, is where the large hotels and convention halls stand. Most conference groups stay there, because ballrooms, restaurants, shows and rooms sit in the same resort district.

Cotai's resort ballrooms and arenas serve as the gala venues. A common plan keeps the conference and the gala in one resort, with a half-day by coach to the old town. Indian dinners are easy to arrange on the peninsula, and vegetarian and Jain meals are briefed in advance.

Conferences
Venetian, Sheraton Grand, Grand Hyatt and Galaxy hold ballrooms for 1,600 to 5,000, and the Venetian alone has 108 meeting rooms.
Evening shows
The Venetian's Cotai Arena seats up to 15,000, and the Galaxy Arena 16,000. An arena night suits a dealer-meet finale.

Senado Square, the Ruins of St. Paul and A-Ma Temple fit one afternoon on foot, a short drive from Cotai.

When to go

October to early December is the best season, with sunny days, low humidity and highs of 23 to 28 °C, so every outdoor plan is available. Winter from December to February is cooler and dry, with Hong Kong highs of 16 to 22 °C and light layers for evenings.

Summer is hot and humid, with rain and typhoons mostly between June and October, so programmes move indoors.

October to December
Peak season, with clear skies for the Peak, the harbour and the Macau skyline. Book ballrooms and Cotai resorts early.
January to February
Cool and dry, which suits walking tours and Lantau excursions.
June to September
Hot, humid and wet. Indoor conferences work well, with outdoor plans kept flexible.

  • We engaged the services of ICE India for managing our Annual Meet at Hotel Novotel Hyderabad. We have been dealing with ICE India for many events and the fact that we have engaged them numerous times is an indicator of our satisfaction of their standards of service. The principle of the company, Mr. Mufaddal Dahodwala, personally gets involved in the event, right from the planning stage until execution. He adds tremendous value by giving his inputs on what & how to be done. His personal touch to the events is truly appreciated. The Hyderabad event was very successful and much appreciated by the attendees, a smooth flowing event without hiccups.

  • The acronym ICE stands for Impressive, Capable, and Efficient. It was so calm and well-managed that they were able to handle the whole event from scratch. The company is experienced in handling things such as negotiations, customisation, and creativity. Our event was managed by ICE India in such a way that our client was unstoppable in appreciating it. It is Mufaddal who is the backbone of ICE India and he has a wonderful team to support him in managing any event. We had a great time working with ICE India, and I am sure they will go far in this industry. A big thank you to the team at ICE India.

  • We worked with ICE India for Confluence, our annual global partners meet. There were 4 other agencies who were pitching for this event and we finally chose ICE India due to their thorough understanding of our needs and the innovative ideas which they suggested for the event. Since this was the first time that we were working with ICE India for such a large scale event, we were a bit skeptical, but Mufaddal and his team were involved in every small aspect of the event and executed it seamlessly. The biggest thing that they bring to the table is the organized way in which they work, which leads to minimum last minute issues, which we all know is bound to happen in a large scale event. All in all it was a very good experience working with them.

Planning an event in Hong Kong and Macau: questions

Is it worth adding Macau to a Hong Kong trip?

Yes, for groups that want a resort evening as well as a city. Hong Kong gives the harbour, the Peak and the markets. Macau gives resort ballrooms, arenas and a heritage old town. Two nights in each suits a five-day programme.

Is Hong Kong or Macau easy for vegetarian and Jain groups?

Yes. Both cities have pure vegetarian Indian restaurants, hotel kitchens are briefed before arrival and menus are reviewed daily. Vegetarian and Jain guests eat full meals, not side dishes.

What happens if a typhoon signal is raised?

At Signal No. 8 or higher, Hong Kong closes offices and suspends public transport, and Macau can suspend ferries and bridges. ICE India plans an indoor option for each outdoor day and keeps the gala venue inside the hotel.

We are a travel agency looking for a Hong Kong or Macau partner. Can ICE India help?

ICE India plans programmes for corporate clients. Destination companies and tourist boards that want to be represented in India can read about destination representation.
