Why companies choose Uttar Pradesh

  • Three airports and a dense rail network

Lucknow and Varanasi take non-stop flights from the main metros, Agra is a short train from Delhi, and the Agra to Lucknow Expressway links the capital to the Taj in about 3h 30m.

  • Convention hotels

Hyatt Regency and the Taj in Lucknow, ITC Mughal and Jaypee Palace in Agra, and DoubleTree and the Taj Ganges in Varanasi have halls from 450 to 1,500 seats.

  • World Heritage and living heritage

The Taj Mahal, Agra Fort and Fatehpur Sikri are UNESCO sites, and Lucknow's Bara Imambara and Varanasi's ghats are working city landmarks.

  • A recognised food culture

UNESCO named Lucknow a Creative City of Gastronomy in October 2025, and each city has a food trail a group can follow.

  • Evening programmes with a sense of place

A Ganga aarti on the ghats, a Nawabi gala with kathak and ghazal, a Mughal dinner within sight of the Taj.

  • An incentive circuit

Delhi, Agra and Lucknow, or Lucknow and Varanasi, make a three or four night programme with real contrast between the stops.

Uttar Pradesh for corporate groups

Uttar Pradesh is India's most populous state, and its three best known cities make a useful map for corporate groups.

Lucknow, the capital, has the deepest conference inventory and a Nawabi culture of food, poetry and dance. Agra has the Taj Mahal, Agra Fort and Fatehpur Sikri, all UNESCO World Heritage Sites, and sits close enough to Delhi for a one or two night programme. Varanasi, on the Ganga, has the evening aarti, the ghats and a growing set of large hotels.

The three work as a single destination or on their own. ICE India arranges local transport, guides, caterers and venue contracts for each event, with a single point of contact, end to end.

Where to go in Uttar Pradesh

Three cities, each with its own hotels and its own kind of programme.

Conferences, Nawabi heritage and Awadhi food

Lucknow

Lucknow, the capital of Uttar Pradesh, grew as the seat of the Nawabs of Awadh in the late eighteenth century. The old city of domed imambaras, bazaars and gateways sits on one bank of the Gomti, and the hotel and office district of Gomti Nagar on the other, which gives a group two moods within twenty minutes: modern meeting rooms in the morning, a lane of kebab shops and chikankari workshops by evening.

The Bara Imambara was built between 1780 and 1784 under Nawab Asaf-ud-Daula as a famine-relief project, and its central hall spans roughly 50 metres without a beam. Above it runs the Bhul Bhulaiya, a labyrinth of 489 identical doorways and a ready-made team challenge. The Rumi Darwaza, a 60-foot gateway modelled on the Sublime Porte in Istanbul, stands beside it, and the Residency, built in 1800, holds the ruins of the 1857 siege.

The cuisine is built on slow dum cooking: galouti kebab, kebab with paratha and Awadhi biryani. For a group, the food becomes the programme: a kebab trail through Chowk, a dum pukht dinner on a hotel lawn, a cooking class that doubles as team building.

ICE India plans menus around the group's vegetarian, Jain and halal needs from the first brief. Business events in Lucknow use Gomti Nagar for meeting rooms and the old city for the evening.

Hotel districts
Gomti Nagar (Hyatt Regency, the Taj, the Renaissance, Hilton Garden Inn, Fairfield and Novotel), Hazratganj and the city centre (Clarks Avadh and the Radisson) and Kanpur Road near the airport (the Ramada convention centre). Hotel lawns take a gala for 600 or more from November to March.
Bara Imambara heritage walk
Covers the Chowk gates, the bazaars and the Imambara complex with a guide, and works well for 20 to 30 people at a time, with larger groups split into batches.

The Taj, Agra Fort and Fatehpur Sikri

Agra

Agra is a heritage city before it is a conference city, and the programme usually follows that. The Taj Mahal and Agra Fort were inscribed as World Heritage Sites in 1983 and Fatehpur Sikri in 1986.

The Taj is closed to visitors on Fridays, so the sightseeing day is planned around that, and Agra Fort, about 2.5 km from the Taj, stays open. Fatehpur Sikri is about 40 km away, up to 1.5 hours by road.

Most large hotels stand along Fatehabad Road: Jaypee Palace, which has the biggest convention hall in the city, ITC Mughal with its column-free Dewan-e-Khas, the Taj Hotel & Convention Centre and Crystal Sarovar Premiere. The Oberoi Amarvilas is the choice for a small, high-end board meeting.

After a day of sessions the programme turns to the old town: a cycle tour through the markets to Agra Fort, zardosi embroidery at Kinari Bazaar, leather at Sadar Bazaar and the spice stalls of Rawatpara. A Mughal-themed dinner on a hotel lawn is the usual gala.

A conference in Agra fits Jaypee Palace, whose convention hall takes up to 1,500.

The ghats and the evening aarti

Varanasi

Varanasi is among the oldest living cities in the world, and a programme here is built around the Ganga. The Dashashwamedh Ghat aarti runs every evening just after sunset for about 45 minutes, from around 6 pm in winter, and a group watches it from a chartered boat or reserved steps. Sarnath is about 10 km from the centre, and the Kashi Vishwanath Dham Corridor, opened in December 2021, links the temple to the river.

The larger hotels are away from the old city: DoubleTree by Hilton Varanasi, which has the biggest ballroom, and the Taj Ganges on its 12 acres of gardens, with a pillarless Durbar Hall and the Peacock Lawn for outdoor dinners. The Radisson takes smaller meetings, and BrijRama Palace, a restored palace on Darbhanga Ghat reached by boat, suits a small leadership dinner.

The Varanasi programme is more reflective than the others: a sunrise boat ride, a music or Banarasi weaving session, a walk through the ghats. Dev Deepawali, when the ghats are lit with earthen lamps, falls in the cooler months. Varanasi works best for incentive groups and leadership offsites, and for conferences of up to a few hundred.

When to go

November to March is the right window in all three cities. In Lucknow daytime highs run about 29 to 33 degrees with cool evenings, and Varanasi sits at 21 to 25 degrees in January and February. Typical formats are two nights and three days for one city, or four nights and five days for a circuit.

Mid-December to mid-January
Cold mornings and fog, which can delay trains and flights.
April to June
Very hot, above 40 degrees. Programmes stay indoors.
Late June to September
Monsoon, with humidity and rain. Plan indoor programmes.

  • We engaged the services of ICE India for managing our Annual Meet at Hotel Novotel Hyderabad. We have been dealing with ICE India for many events and the fact that we have engaged them numerous times is an indicator of our satisfaction of their standards of service. The principle of the company, Mr. Mufaddal Dahodwala, personally gets involved in the event, right from the planning stage until execution. He adds tremendous value by giving his inputs on what & how to be done. His personal touch to the events is truly appreciated. The Hyderabad event was very successful and much appreciated by the attendees, a smooth flowing event without hiccups.

  • Dear Mufaddal and Shreya, This was our first event and we approached ICE India for support. You both were very calm, composed and able to make decisions at once, quickly. You were able to understand our needs and always happy to help even when the plan changes last minute. You are very organized in your work which leads to minimum last minute issues – which we all know are bound to happen. We had a fantastic experience and were treated with thorough professionalism right from planning, organizing and executing the event. It was a fabulous experience working with you both and we cannot thank you enough for executing it so well. Kind regards, Gita

Planning an event in Uttar Pradesh: questions

Can Uttar Pradesh host a conference of 500 people or more?

Yes. Jaypee Palace in Agra and the Ramada in Lucknow take banquets up to 1,500, the Crystal Room at Lucknow's Taj seats about 600, and DoubleTree Varanasi's ballroom about 900 theatre style. For larger galas, hotel lawns allow outdoor dinners from November to March, with an indoor hall held as a backup.

Can we visit the Taj Mahal on a Friday?

No. The Taj is closed to visitors on Fridays, so ICE India plans the sightseeing day on another day and uses Friday for sessions, Agra Fort (which stays open) or the travel leg.

How do we combine two of the cities in one programme?

Lucknow to Agra is about 3h 30m by expressway, and Lucknow to Varanasi about 4h 40m by Vande Bharat. Delhi to Agra is the shortest link, under two hours by train. A common circuit is Delhi, Agra and Lucknow, with a flight home from Lucknow.

What does a corporate offsite in Uttar Pradesh cost?

It depends on the season, hotel, group size and experiences. For reference, ICE India's published bands put a one-night conference for 200 people at ₹35-70 lakh including stay on twin sharing, F&B and AV, before GST. Each programme is quoted after a short brief. See corporate MICE.
