The brief
Vibcare Pharma wanted a dealer meet in Goa with two main events. By day, a business session put its channel partners in a room with its leadership. By night, an awards evening recognised partners in front of their peers. Free time on either side was left for informal conversations outside the business sessions.
Partners were travelling from several cities, so arrivals ran across the whole of the first day and departures were staggered on the last. The client preferred the beach side of North Goa and wanted a single property that could hold the group, the sessions and the gala. Late dancing, loud music and alcohol meant licensing and outdoor noise limits had to be settled early. ICE India handled all of it, from airport transfers to the casino coaches on the third night.
What ICE India delivered
Resort and venue
A beachfront resort in Mandrem, with the Coral banquet hall for the business session and the gala, a beach lawn for the welcome evening and one restaurant for every buffet.
Arrivals and departures
Air-conditioned coach transfers between Manohar International Airport, Mopa and the resort, covering arrivals through the first day and staggered departures on the last.
Conference production
A stage with a 12 ft x 8 ft LED wall, PA system, branded backdrop, entry arch and standees, with generator backup for the sessions and the gala.
Awards gala
A partner awards dinner in the Coral hall with an emcee, felicitations and a lucky draw, set in rounds with a dance floor.
Entertainment
A live serenading act for the welcome evening, a drum circle to open the business session, and a DJ and a belly-dance act at the gala.
Free day and casino evening
A sightseeing and shopping afternoon in Panjim followed by a hosted evening at a casino, with coaches both ways and a buffet dinner.
One resort for the whole programme
The first proposals covered several North Goa properties around Calangute and Baga. ICE India then proposed Mandrem, at the quieter end of the coast, where one low-rise beachfront resort could hold the business session, the gala, the lawns and every meal. Nobody on the programme needed a coach until the third day.
The Coral banquet hall opens onto the beach through full-height windows, so the business session ran in daylight and the same room turned into the gala hall in the evening, set in rounds. The resort's lawns took the welcome evening, and its restaurant served every buffet.
Arrivals across the day, departures across the last
Partners landed at Manohar International Airport, Mopa, from several cities across the first day. ICE India tracked each arrival against a flight manifest and met the flights with air-conditioned coaches for the 45 to 50-minute transfer to Mandrem, so partners reached the resort in groups rather than all at once. Check-in opened at 14:00, with lunch served on arrival.
On 2 October the same system ran in reverse: breakfast, a check-out window from 10:00 to 11:00, and coaches to the airport timed to each partner's flight.
The welcome evening on the lawn

high tea was served at 17:00. At 19:30 the group gathered on the resort's beach lawn for the welcome dinner, with cocktails, a live serenading act and round tables set among the lawn lighting. The evening was kept informal so partners from different regions could meet each other before the working day.
Outdoor music at the resort has to stop at 22:00, so the welcome evening centred on live acoustic music and the loud entertainment was saved for the indoor gala.
The business session

The partners' conference ran from 10:00 to 13:30 in the Coral banquet hall on 30 September, with a branded stage, an LED wall for presentations and a PA system with microphones. The day opened with a lamp-lighting ceremony and a drum circle, with djembe drums at every table and a facilitator leading, so the room started by playing together.
Presentations from the leadership team followed, with a tea and coffee break in the morning, a buffet lunch at 13:30 and high tea at 17:00.
The awards gala
Awards and the gala dinner ran from 19:30 to 23:30 in the same hall, now set in rounds. An emcee led the programme, partners were felicitated on stage with shawls, a lucky draw ran during the evening, and the awards were presented in front of the whole group against a Vibcare Partner Meet Goa 2026 backdrop.
After the formal part of the evening, a DJ and a belly-dance act took over the floor. Because the gala was planned indoors, the music could carry on past the 22:00 limit that applies outdoors, and the evening ran to 23:30 without a venue change or a coach.
The free day and the casino evening
The morning of 1 October was free, with breakfast and lunch at the resort and time on the beach or by the pool. At 15:30 the group boarded coaches for sightseeing and shopping, with a retail stop in Panjim, and went on to a casino for the evening.
The casino package covered entry to the floor, a multi-cuisine buffet dinner, premium drinks, live entertainment and a one-time chip allowance per person. Coaches took the group there and back, and the itinerary closed at 23:30.
What made it work
- One property, one plan
- Putting the session, the gala, the lawns and the meals in a single resort removed the movements that usually break a dealer-meet schedule.
- Noise and licensing settled early
- The outdoor 22:00 limit decided where each element ran: acoustic on the lawn, loud inside the hall.
- Arrivals handled as a system
- A flight manifest, scheduled coaches and a long check-in window meant late arrivals were not left waiting.
- Recognition and relaxation in balance
- A working day, a gala and a free day with a hosted evening gave partners time with the company and time with each other.
This channel partner meet ran over four days with an awards gala and airport transfers managed throughout. ICE India plans corporate events of this kind.
Questions this event answers
How do you organise a dealer meet so the business session and the gala share one venue?
Choose a resort whose banquet hall can be reset between uses. At Vibcare's meet the Coral hall was set in cluster seating for the 30 September conference and in rounds for the awards gala that night, so nothing moved between venues. See event management.
What does an awards evening at a dealer meet involve?
Stage, LED wall, sound and branding, an emcee, a running order for felicitations and a lucky draw, and entertainment after the formal part. ICE India produced the stage, the sound and the running order.
How are music and noise rules handled at a Goa beach resort?
Outdoor music has to stop at 22:00 at this resort, so the lawn evening stayed acoustic and the gala moved into the hall. See Goa for corporate events and corporate MICE.
What does a free day look like on a dealer meet?
Time at the resort in the morning, then a single group activity so the party stays together. Vibcare's third day was a free morning, then sightseeing and shopping followed by a hosted casino evening, with coaches both ways.
