The brief
Edelweiss Financial Services wanted to reward its top-performing employees with a European incentive trip: 75 people from offices across India, to Amsterdam and Paris. Guests lived in Mumbai, Delhi, Bengaluru, Pune and Hyderabad, needed Schengen visas, and were travelling in peak season to two of the busiest hotel markets in Europe.
The company had specific requirements beyond a standard group package. It needed room for last-minute participant changes, which are common in incentives when business priorities shift. It wanted team building built into the sightseeing instead of added as a separate session. It needed 24/7 support for a group travelling abroad together for the first time, and costs it could take through budget approval with no hidden charges. Earlier agents had left communication gaps, inflexible itineraries and too little help on the ground.
What ICE India delivered
Itinerary design
Amsterdam first, then a chartered coach to Paris with a day in Brussels on the way, with group activity in the morning and free time later.
Five-city departures
Departures from Mumbai, Delhi, Bengaluru, Pune and Hyderabad, with a pre-departure briefing held in each city.
Schengen visas
A visa coordinator, group slots at the consulates in Mumbai and Delhi, and every file checked before submission.
Hotels in both cities
Central hotels near Leidseplein in Amsterdam and in the Marais in Paris, on double occupancy with single rooms on request.
Excursions and team challenges
A canal cruise, museum visits, a cycling tour, Eiffel Tower access, a Seine dinner cruise and two destination-based team challenges.
Crew and local partners
Two ICE India crew members travelled with the group, with local partners in both cities for coaches, restaurants and timings.
Brussels added between Amsterdam and Paris
The brief was two cities. Instead of flying or taking the train between them, ICE India hired a coach and routed it through Brussels, so the group spent a day there on the way. Amsterdam came first for its relaxed canal culture, and Paris followed for energy and a bigger finish. Each day set group activity in the morning and early afternoon against free time in the late afternoon and evening, since an incentive group wants both shared experiences and room to explore alone.
The coach kept the group and its luggage together from the Amsterdam hotel to the Paris hotel, with no airport transfer or security queue in between. The ICE India crew ran the day in Brussels and the timings on the road.
| City | Days | Group programme | Hotel area |
|---|---|---|---|
| Amsterdam | 3 | Welcome dinner at a traditional Dutch restaurant on arrival evening, guided canal cruise, Van Gogh Museum visit with an expert-led tour, cycling tour through Vondelpark and the Jordaan with a team challenge | Near Leidseplein, walking distance to canals and museums |
| Brussels | En route | A day in the city on the coach journey from Amsterdam to Paris | Day stop |
| Paris | 4 | Eiffel Tower priority access at sunset on the first evening, Louvre highlights tour, Seine dinner cruise, Montmartre walking tour with artist demonstrations and a scavenger hunt | The Marais, with metro access |
Five departure cities, one group
Rather than put 75 people on a single flight from one city, ICE India routed them from the five cities where they live. Mumbai and Delhi travellers flew direct to Amsterdam, and the Bengaluru, Pune and Hyderabad groups connected through convenient hubs. Managing five departure groups was more complex for the planning team and shorter for each traveller.
In each of the five cities, a pre-departure briefing covered documents, packing, currency exchange, cultural etiquette and emergency contacts.
Schengen visas for a group
A dedicated visa coordinator collected each person's employment letter, bank statements, travel insurance and photographs, to the requirements of the Netherlands consulate. Instead of 75 individual appointments, ICE India negotiated group processing slots at the consulates in Mumbai and Delhi to shorten the timeline. Every application was reviewed for completeness before submission, catching document gaps that would have caused rejection or delay. For a corporate group, a refused visa means either leaving a colleague behind or cancelling the place, and the process was built to avoid both.
Hotels and rooming
In Amsterdam the group stayed in a centrally located hotel near Leidseplein, within walking distance of the canals, museums and nightlife. In Paris the hotel was in the Marais, which gave historic character and metro access. Rooms were double occupancy, with single rooms available at a supplement for guests who preferred them, rather than forcing everyone to share. Group rates were negotiated in advance within the Edelweiss budget.
Sightseeing and team building

The activities mixed landmarks with local experiences, each with a dedicated guide who talked with the group instead of reciting facts. The Eiffel Tower visit used priority access to avoid long queues, and the Louvre tour was a focused highlights route, not an exhausting full day.
Team building was part of the sightseeing. On the Amsterdam cycling tour, teams navigated using clues in Dutch. In Paris, the Montmartre scavenger hunt sent teams to talk with local artists and shopkeepers. Both used the city as the activity, which kept the programme away from conference-room exercises.
On the ground
Two ICE India crew members travelled with the group throughout, managing ground logistics. They worked with local destination management partners in both cities for private coaches, pre-booked group dinners and activity timings. Guests had a 24/7 WhatsApp line to the team, and the Edelweiss HR team that accompanied the trip could concentrate on its people rather than on logistics.
The small interventions show what that cover is for. When one guest's luggage was delayed, the crew arranged emergency clothing purchases and handled the airline. When another needed a pharmacy for a minor illness, a crew member went with them and spoke to the pharmacist.
What made it work
- Flexible by design
- Departure city, room type and activity participation were all adjustable, which matters when business priorities shift just before travel.
- A sequenced journey
- Amsterdam first let the group settle into the trip and each other, and Paris built the energy toward the end.
- Crew in the group
- Guests could see and approach the people responsible, instead of calling a distant helpline.
- Destination-based challenges
- The clues and the scavenger hunt came from the places themselves, not from an imported team game.

ICE India has been managing our corporate travel incentives since 2012. As a corporate our requirements are usually specific, involve a last minute rush, lot of back and forth on dates, hotels, number of travelers, etc. Through all of this, it's a pleasure dealing with Mufaddal and his team for the way they manage the trip and the group. The best part is the personalized service and the rapport our group shares with Mufaddal by the end of the trip. All the best!

Questions this event answers
Why a coach rather than the train between Amsterdam and Paris?
A coach stops where the group wants. Routing it through Brussels added a third city without an extra flight or hotel change, and luggage stayed with the group from hotel to hotel.
How are last-minute changes to the traveller list handled?
By planning for them at the start. Edelweiss expected changes as business priorities moved, so rooms, departure cities and activity bookings were arranged with that flexibility, and visa files were prepared per person so that one change did not disturb the rest.
When does a travelling crew make sense for an incentive group?
Whenever the group is large enough that problems arrive faster than a helpline can answer them, or when many guests are abroad together for the first time. Our corporate MICE service includes crew who travel with the group, working with local partners in each city.
Which other destinations does ICE India run incentive trips to?
ICE India works in 50+ destinations, with vetted local partners in 40+ countries. For another overseas incentive, see the 600-agent trip to Kuala Lumpur.
