Producing The Ethereum Validators Association's evening symposium in Mumbai during Devcon week
ICE India found the venue, built the stage, and moved guests from the conference to the hotel for EVA Symposium III. The booking was made in a week when Devcon 8 had filled the hotels around Bandra Kurla Complex (BKC).

The brief
The Ethereum Validators Association asked for a private evening symposium in Mumbai during Devcon 8, the Ethereum community's global conference. Validators run the computers that check and secure transactions on the Ethereum network, and EVA represents them. The client team was based in the US and wanted the room close to the conference, a programme from 18:00 to 20:00, and dinner and drinks until 23:00.
The timing was the hard part. Devcon took over the convention centre in BKC from 3 to 6 November, and the hotels around it filled up fast. ICE India had to find a five-star room near BKC, run production for a debate filmed for social media, and get guests across from the conference on time.
What ICE India delivered
Venue search
Five hotels and venues approached in and around BKC, and one of only two rooms still free on 4 November secured.
Hotel contracting
A banquet agreement covering the minimum spend, hi tea at doors, the buffet dinner, the bar and a temporary liquor licence.
Stage and production
A 24 ft stage, a 24 ft LED wall, a PA system, stage lighting and a 62 KVA generator, with a technical rehearsal before doors.
Debate staging
A podium in front of the LED wall for each speaker, and handheld microphones for questions from the floor.
Guest transfers
Six 13-seat coaches on round trips between the conference venue and the hotel, with staff holding EVA placards at both ends.
Registration
Name badges, a registration desk with two hostesses, a printed sign-in sheet and a transport list for the ground staff.
Finding a room during Devcon week
Devcon booked the entire convention centre for the week, and two of the hotels closest to it were sold out on 4 November. ICE India checked every full-service option in BKC and the nearest hotels around it, then stuck to five-star hotels. Restaurants in the area would be full that week, and working around their décor is always a compromise.
Two hotels in Santacruz East still had space. ICE India put both to EVA side by side, with distances, room plans, photos and costs, and both holds had a deadline. EVA chose the closer one, Grand Hyatt Mumbai, about 3.5 km from the convention centre. More on venues in the city is on the Mumbai page.
A full-day hold for an evening event
The programme ran for two hours, but the room was needed from the morning. The stage, LED wall, sound and generator take four to five hours to build, and speakers needed a rehearsal before doors opened at 17:00. An evening-only slot would have handed the room over at 18:00.
| Time | What happened |
|---|---|
| 08:30 | Venue handed over to ICE India |
| 09:00 | Stage, LED, sound and lighting build begins |
| 17:00 | Doors open, hi tea in the pre-function area |
| 18:00 | Host's welcome, keynote, then the debate |
| 20:00 | Buffet dinner and bar open |
| 23:00 | Event closes |
Staging the Great Issuance Debate
The evening was billed as the Great Issuance Debate. Speakers took the podium in turn, with their slides and EVA's Symposium III branding on the LED wall behind them, and questions came from the floor on handheld microphones.
EVA's priority was footage for social media, so the stage, lighting and screen were planned for the camera. ICE India's photographer and video team covered the evening and supplied the footage to EVA.
Moving guests from the conference
Most guests came straight from Devcon. ICE India ran six 13-seat coaches on round trips between the convention centre and the hotel. Two staff members held EVA placards at each end, directing guests to the vans and then to the hall.
A guest list that kept growing
The hotel's minimum guarantee was 75. EVA received 430 applications and approved guests in rounds until the evening before, so the list went from 77 names on 29 October to 113 on the event day. ICE India rebuilt the badges, transport list and sign-in sheet with each round, checked them for duplicates, and kept the hotel updated on numbers for the kitchen. On the night, 100 guests attended.
Alcohol, licences and local rules
Maharashtra serves wine and spirits only to guests aged 25 and over, and beer to those aged 21 and over. ICE India flagged this to the client before the event. The temporary liquor licence fixes the bottle count in advance, and the hotel bills every bottle listed, so the bar was ordered lean, with beer and Indian wines carrying the evening.
ICE India ran this as conference management and event logistics for an overseas client, the work described for organisations bringing events to India.
Questions this event answers
Can you find a venue near the conference during a major event week in Mumbai?
Yes, with a fast decision from the client. For EVA, the hotels nearest the convention centre were sold out, and ICE India secured a room at Grand Hyatt Mumbai, about 3.5 km away. See conference management.
Why book a venue from the morning for an evening event?
A stage, LED wall and sound system take four to five hours to build and test. Booking from 08:30 gave EVA a finished room and a rehearsal before doors at 17:00.
How do hotel minimum spends work in India?
The hotel sets a floor on food and beverage spend for the room. Food, soft drinks and alcohol count towards it. If consumption falls short, the gap is billed as hall rental.
What should international clients know about serving alcohol in Mumbai?
The hotel needs a temporary licence that lists every bottle in advance, and every bottle listed is billed. In Maharashtra, wine and spirits go only to guests aged 25 and over.
Can you handle a guest list that changes up to the day?
Yes. EVA's list grew from 77 to 113 names in the last week. ICE India reissued badges, transport lists and the sign-in sheet with each change. See event logistics.
